Configure Advanced Settings: Emails

Things to Consider

  • Required User Permissions:

    • 'Admin' level permissions on the project's Emails tool.

  • Restrictions:

    • When configuring user permissions as described in Set User Permissions for the Emails Tool below, you are not permitted to change settings for users associated with a permission template. Instead, see Edit a Project Permissions Template.

    • For a list of what users can do at each permission level in Emails, see the Permissions Matrix.

  • Additional Information:

    • If a user with 'Admin' level permission to the project's Emails tool creates a 'Default Distribution' list using the steps below, the members of that list will receive all messages that have been created in and sent from your project's Emails tool or sent to the Emails tool via the inbound email address. This includes messages marked 'Private'.

Steps

Note: A modernized user experience is now available for the Email tool. Learn more about this open beta and how your Procore point of contact can help you enable it.

  1. Navigate to the project's Emails tool.

  2. Click the Configure Settings icon.

  3. Under Email Settings, click one of the following to configure or update your settings:

    • General

    • Permissions Table

General

Under Email Settings, click General and review the following settings:

  1. Inbound Email Address
Enter your Procore project's inbound email address

  2. Communication Settings
Under Communication Settings, select any one of the following options:

    1. Anyone can send inbound email address into the project

    2. Only company directory users can email into the project

    3. Only project directory users can email into the project

  3. Set emails to private by default
Mark the check box if you want to set your emails to private.
Note: Only the sender and recipients will be able to view new emails.

  4. Default distribution
Select users from the drop down menu. The selected users will automatically be cc'd on all inbound and outbound emails.

  5. Copy tags from another project
Select your desired project from the drop down menu.

Permissions Table

Under Email Settings, click Permissions Table and review the permissions for the users as required.
To change a user's permission level for the Emails tool, click the gray circle icon in the respective row. Once the permission is updated, it will be marked as blue icon.

Note:

  • If a row is gray and unclickable, it means that the user has already been assigned the permission. You can only assign permissions to a new user.

  • Note: The user is either a Procore Administrator or has been granted permissions to the Procore tools on this project using a permissions template (see What is a permissions template?). To change the user's permission level for this tool, see Change a User's Permissions in the Project Directory.
