View a Bid Package

Things to Consider

  • Required User Permissions:

    • 'Admin' level permissions on the project's Bidding tool.
      OR

    • 'Read Only' or 'Standard' level permissions on the project's Bidding tool and added to the Bid Submission Notifications field.

Steps

  1. Navigate to your project's Bidding tool.

  2. Click the name of the relevant bid package.

  3. Use the following tabs to track and organize your bid package activity:

    • Overview: The Overview tab displays general project details, including the title, key dates, preferences, and the original bid invitation. Show/Hide Details

      • Information: Review the bid package number, current status, and whether documents are attached.

      • Bid Contact & Notifications: Identify the primary contact and users designated to receive bid submission notifications.

      • Project Location: View an interactive map of the project location.

      • Dates: Track critical deadlines such as the Bid Due Date, RFI Deadline, and Anticipated Award Date. You can also view dates and details for the Pre-Bid Meeting and Site Walkthrough.

      • Invitation to Bid: Read the project description, bidding instructions, and specific proposal requirements.

      • General Settings: Check for project preferences such as flexible due dates, bid reminders, and the bid submission confirmation message.

      • Privacy & Visibility Settings: See if Blind Bidding is enabled or if a Non-Disclosure Agreement (NDA) is required.

    • Files: You can view, edit, and export the files that have been attached to the bid package. See Update Bid Files for more information.

    • Bidding: This tab serves as your primary workspace for managing bid recipients. Use this area to view the invitation status and "Bid Intent" of subcontractors, or to add new bidders from your Directory. You can also organize large bidder lists by filtering by trade or cost code. If you are using the Enhanced Experience, you can group bidders by specific bid forms to monitor coverage across different scopes of work.

    • Correspondence: Use this tab to manage bid package updates, known as correspondence. From here, you can send new messages or view and reply to previous ones. For more details, see Send a New Correspondence in the Bidding Tool.

    • Download Log: Use the Download Log to track which bidders have accessed your documents. This list helps you identify who might have downloaded outdated versions after an update, or who needs a reminder to download files before the deadline.

    • Change History: This log tracks bid package updates on the Overview tab and shows who made them. It records changes to titles, dates, and creation details.

    • Emails: Projects using the Bid Management Enhanced Experience include a dedicated Emails tab within each bid package. This tab serves as a central hub to send and track all email activity for that package. To use this feature, you must be listed as a 'User' in the project Directory.
