Answer

Procore determines what data users can see in the Company level 360 Report based on the complexity of the tool's permissions. There are two (2) distinct rules:

Why?

Tools with Granular Permissions

Project tools that require both tool-level permissions and granular permissions to view data. For example, a user with 'Read Only' level permissions to the Submittals tool must also be granted the 'View Private Submittals Associated to Users within the Same Company' granular permission.

The user must be an 'Admin' on the Submittals tool to include the data in a Company 360 Report.

Only users with 'Admin' permissions can pull project data into a company-level report, ensuring no sensitive or private information is accidentally exposed.

Tools with Simple Permissions

Project tools requiring only tool-level access permissions ('Read Only', 'Standard', and 'Admin'). For example, a user with 'Read Only' level access permissions to the Direct Costs tool.

The user only needs 'Read Only' access on the Direct Costs tool to include the data in a Company 360 Report.

Because there are no complex data-hiding rules, users are permitted to view project data and include it in a Company 360 report.

Let's use the speaker's RFI (a tool with granular permissions) example:

  • Your Role: You are a Procore user with access to the RFIs tool on nine (9) Procore projects:

    • On five (5) projects, you have 'Admin' level access permissions to the RFIs tool.

    • On four (4) projects, you have 'Read Only' level access permissions to the RFIs tool.

  • Your Action: You go to the company/portfolio level to create a report on RFIs across all your projects.

  • The Result: The report will only contain RFI data from the 5 projects where you are an Admin. Procore automatically filters out and excludes the data from the four (4) projects where you only have Read-Only access.
