What are Concept Projects?

A Concept Project is a new, lightweight project designed specifically for the planning or "pipeline" phase of your portfolio. It provides a dedicated space to capture project ideas, estimated budgets, and essential documents within Procore before a project is officially approved or committed. This allows you to manage your entire pipeline by viewing potential projects alongside approved ones directly from your Procore Home.

Key Pilot Capabilities

  • Streamlined "Quick Create" Experience Capture ideas instantly. The new creation form is optimized for speed, requiring only a Name to get started. You are no longer forced to enter mandatory construction details like Start Dates, End Dates, or upload Drawings just to save an idea.

  • Triaging Fields, Rank and prioritize your backlog. The pilot introduces specific fields for Estimated Budget and Priority, allowing you to sort and compare potential projects directly from your Portfolio Home.

  • Democratized Project Creation Empower your planning team. You can now grant specific users (like Portfolio Planners) the ability to create Concept Projects without giving them full Company Admin access or administrative control over your entire Procore account.

  • Seamless Promotion to a mainstream Project: When an idea is green-lit, you can "Promote" it to a Standard Project with a single click. This converts the project type while preserving all the history, documents, and data you captured during the planning phase, eliminating the need for double data entry.

Frequently Asked Questions

Do Concept Projects look and behave differently from Standard Projects?
Yes. While they appear in your Portfolio list for visibility, Concept Projects have a simplified intake form with minimal fields and contain only a limited toolset (Documents, Budget, Directory, Reporting and Admin) 

Can I revert a project back to 'Concept' status after promoting it?
No. Promotion is a one-way transition. Once a project is promoted to 'Standard,' it unlocks the full tool suite and cannot be converted back to a Concept Project.

Who can create these projects during the Pilot?
Any Company Admin or existing Project Creator has the ability to create Concept Projects. You can also assign a specific granular permission ("Create Concept Projects") to any user's Permission Template. This allows them to create and manage concepts without being a full Company Admin or having the ability to create standard projects.

Will these projects count against my Project Cap?
No, Concept Projects don't add to your number of standard projects. Also, Procore now gives most accounts unlimited projects.

Do Concept Projects need a project template?
If you create a Concept Project but don’t have Admin access, you won’t be able to manage the project’s Directory or add collaborators. To ensure the right people have access, someone with the appropriate permissions should assign a project template to the Concept Project. Admin can also consider giving Portfolio Planners the additional granular permission of assigning templates to projects, so the correct Admins are in place from the start. 

What else is included in this Pilot to help manage potential and existing projects?

  • New fields to help you decide which project to focus on or approve:

    • 'Priority' - Identify the proposed project as low, medium, or high priority. 

    • 'Estimated Budget' - Approximate the cost of the proposed project. 

  • Bulk Editing - Quickly edit metadata for multiple concept and standard projects.

  • Inline Editing - Conveniently edit metadata from the list view, without opening the project.

  • Filter and group projects by custom fields - Use your company's custom fields to locate and group projects.

  • New columns - Data such as 'Project Dates' now appears in a column in your list of projects, as well as the new 'Priority' and 'Estimated budget' columns.

  • 'Export' button relocation - The export function is now in the overflow menu on the project list card.

How do I sign up for the Beta?
