Get Started: Datagrid AI in Procore

Availability

Background

Datagrid AI assists with information retrieval and automating tasks across tech stacks. Learn how to use Datagrid AI within the Procore side panel to retrieve project details, understand how Procore works, and run agents that assist you as you work.

Things to Consider

  • Prerequisites:

    • Access: An executed Datagrid service agreement along with your Procore subscription.

    • Enablement: A Company Admin has enabled 'General Access' (for basic access). Optionally, a Project or Company Admin has indexed a project (for full access). See Enable Datagrid AI for instructions.

  • Credit consumption: Credits are used for all AI questions, agent tasks, and background AI work (like syncing data and Learning projects). Learn more about AI credits.

  • Validation: AI can make mistakes. Always check all AI work, results, and answers against your own records to ensure accuracy.

Steps

Use Datagrid AI without project data access (support only)

If your project is not indexed (indicated by a banner at the top of the Datagrid AI panel), you can still ask Datagrid AI questions about how how Procore works. If you want your project indexed, contact your company or project Admin.

  1. ClickWhite background so it shows in dark mode. This is the same icon as used for Assist, but it's crisper and white background. Other Assist one can be deleted after that tool is phased out. AI on the right to open the Datagrid AI side panel.

  2. Type a question about Procore products or how the Procore application works into the prompt composer. For example, type, How do I manage user permissions for the Directory tool?

    • Note: If you're an Admin visiting the Datagrid AI side panel for the first time, you will see the options to: Enable Project Sync or Ask Support Questions Only. If you choose to Ask Support Questions Only, you'll have a chance to sync (index) the project later.

  3. Click thedatagrid send arrowsend arrow or press ENTER on your keyboard to submit the request.

  4. Review the AI's response. Clicklight bulb iconReasoning to view the step-by-step logic the AI used, or click the Citations to view the AI's source when it uses indexed project data or web search results.

Use Datagrid AI with project data access

If your project is indexed, you can use Datagrid AI beyond discovering how Procore works. You can ask complex questions about your project's data and deploy agents to work on your behalf. If you want your project indexed, contact your company or project Admin.

Quick path

The controls default to Executive (Auto). Executive is the mode, and 'Auto' means the AI automatically selects the best agent for your request. To use Datagrid AI with these default settings, follow these steps:

  1. ClickWhite background so it shows in dark mode. This is the same icon as used for Assist, but it's crisper and white background. Other Assist one can be deleted after that tool is phased out. AI on the right to open the Datagrid AI side panel.

  2. Type a question or request into the prompt composer. For example, type, Summarize all open RFIs related to electrical work and draft an email to the electrical subcontractor, for my review.

Customization path

Customize the prompt controls by adding data sources or access to other applications such as your scheduling platform in order to achieve more complex or precise goals. Explore the many configuration options below, but for a more detailed tutorial on this topic, see Optimize Datagrid AI Results Using Prompt Controls.

  1. If the Datagrid AI side panel is not already open, clickWhite background so it shows in dark mode. This is the same icon as used for Assist, but it's crisper and white background. Other Assist one can be deleted after that tool is phased out. AI on the right.

  2. Choose your mode. Click the mode name above the prompt composer to choose one that aligns with your goal.
Note: 'Ask' mode cannot support the connection of actions, tools, or MCP connections via the 'Actions' menu. Select a higher mode for those features.

    Highest

    Auto

Datagrid's reasoning engine dynamically selects a mode based on the complexity and context identified in your prompt.

    Variable

Note: Only 'Execute' and 'Auto' mode allow you to select from the Actions menu.

  3. Select a specific agent: Click the mode name (e.g., Ask, Extended, or Execute) to toggle offIcon Toggle OffAuto-Select Agent and select a provided or custom agent from the dropdown list.

    • Note: Some agents do not operate at full capacity in 'Ask' or 'Extend' mode. When using Datagrid AI with a specific agent, it's best to choose Executive mode.

    • You can also create an agent or customize an existing agent.

  4. Choose your LLM: Click theGemini AI icon - first uploaded due it being Datagrid AI's default LLM so users have to click this to change to a new LLM.model icon at the top right of your message field to select your preferred Large Language Model (LLM) (e.g., Gemini, GPT, Claude). By default it's set to Gemini. Scroll to see all the options.

  5. Choose your actions, tools, or custom MCP: If you are in 'Execute' mode and your project is indexed, click the Actions menu in the chat bar to toggle on specific capabilities (like Procore Enterprise, Web Search, Calculate, or a custom MCP server).

  6. Attach data sources: Click thePaperclippaperclip icon to attach local files from your computer or data from outside apps, like Box, Bridgit, or Acumatica. This gives Datagrid AI the ability to consider data from these sources when it provides an answer or output for you.

  7. Use prompts or memories: Click Prompts to open your Prompt Library, or click theOpens the AI Agent's saved memories (such as users name, email, and timezone)brain icon to view the Agent's saved memories (such as your name, email, and time zone).

  8. Type a question or request into the prompt composer. For example, type, Audit the attached submittal against the LEED requirements in our project manual and current EPA regulations via the web. If there's a conflict, summarize the discrepancies and draft a rejection letter for the subcontractor.

  9. Click thedatagrid send arrowup arrow or press ENTER on your keyboard to submit the request.

  10. Review the AI's response. Clicklight bulb iconReasoning to view the step-by-step logic the AI used, or click the Citations to view the AI's source when it uses indexed project data or web search results.

  11. To start a new conversation, click thearrow pointing leftsend arrow in the upper left and click + New Chat.
