About Punch List Emails

Background

Procore sends email notifications to keep project team members informed about the status of punch list items. These notifications ensure that the right people are alerted when work is assigned, disputed, or ready for review. By receiving these automated updates, you can quickly identify which tasks require your immediate attention and track the progress of items toward closure without needing to manually check the tool for every update.

Things to Consider

  • Required User Permissions:

    • Read Only' level permissions or higher on the project's Punch List tool to receive informational notifications.

  • Additional Information:

    • Email Delivery: Notifications are sent to the email address associated with your Procore user account.

    • Action Required Banners: Emails with an orange banner indicate that your action is required and the item is currently in your Ball In Court.

    • Frequency: You may receive notifications for individual items as they are updated or batch emails that group multiple updates together to reduce your email volume.

Punch List Email Types

Action Required Notifications

These emails contain an orange banner stating 'Your action is required'. You will receive these when a punch list item is in your Ball In Court and requires you to perform a task. Examples include:

  • Initiated: Punch has been created and sent to Punch Manager for review.

  • Work Required: You are assigned to complete work on an item.

  • Ready for Review: All assignees have responded, and you must now review the work.

  • Work Not Accepted: An item you previously worked on was not approved and requires further action.

  • In Dispute: An item has been challenged and needs a resolution.

  • Ready to Close: The work is verified, and the item is ready for final closure.

Informational Notifications

These emails are sent to keep you updated on the status of items you are associated with. Examples include:

  • New Comment: Someone added a comment to an item.

  • Due Date Change: The date for completion was updated.

  • Closed: The punch list item is officially finished.

  • Resolved: Work on an item is marked as resolved by an assignee.

Batch Updates

To help you manage your inbox, Procore may send a single email listing multiple updates at once. These can include:

  • A list of Initiated and Work Required items.

  • A list of multiple overdue items.

  • A summary of several items that had their due dates changed.
