Resolve 'Missing Phase Relationships Exist' Export Error
Background
This error occurs when a cost code that is currently being used on a Procore project has been deleted from the JC Phases master list (the company level cost code list) in Viewpoint Vista. Because the master record no longer exists in Vista, the integration cannot validate the "relationship" between the job-level phase and the company-level phase, causing the export to be rejected.
Things to Consider
Required User Permissions:
Method 1: Re-add the Phase in Viewpoint Vista
Viewpoint Vista:
'Admin' permissions within your Viewpoint Vista environment.
Procore:
'Admin' level permissions on the company level ERP Integrations tool
ANDThe person's account must be granted the 'Can Push to Accounting' privilege in the Company Directory. See Grant Accounting Approver Privileges.
Method 2: Remove the Cost Code from the Procore Project
Procore:
'Admin' level permissions on the project level Admin tool and the company level ERP Integrations tool.
ANDThe person's account must be granted the 'Can Push to Accounting' privilege in the Company Directory. See Grant Accounting Approver Privileges.
Steps
Choose the resolution method below that best fits your project’s current needs:
Method 1: Re-add the Phase in Viewpoint Vista
Use this method if the cost code was deleted by mistake and is still required for the project.
Open Viewpoint Vista.
Navigate to the Job Cost module.
Go to Setup > JC Phases.
Re-add the missing cost code to the master list.
Wait for the Sync: The Procore-Vista integration runs a background sync every hour. Wait for the next sync to complete so Procore recognizes that the phase has been restored.
Retry the Export in Procore:
Navigate to the ERP Integrations tool.
Click the Jobs tab.
Locate the job in the Ready to Export or Failed filter.
Click Export (or Update).
Method 2: Remove the Cost Code from the Procore Project
Use this method if the cost code is no longer needed on the project and should not be in the Vista master list.
Navigate to the project's Admin tool in Procore.
Under Project Settings, click Work Breakdown Structure.
Under Segments, click Cost Code.
Locate the cost code mentioned in the error and Remove it from the project.
Note: You cannot remove a cost code if it is currently tied to financial items (e.g., Budget line items, Commitments). Those items must be re-categorized or deleted first.Retry the Export:
Navigate to the ERP Integrations tool.
Click the Jobs tab.
Locate the job in the Ready to Export or Failed filter.
Click Export (or Update).
