Choose a Scheduling Path

Background

Before setting up your project schedule, choose the scheduling workflow that best fits your team:

  • Option 1: Read-Only Schedule: Best if you manage your master schedule in external software (P6, MS Project, Phoenix, etc.). Procore preserves master schedule logic in read-only format while unlocking an editable Lookahead tab for field teams. Re-importing overwrites existing data.

  • Option 2: Editable Schedule: Best if you want to create or manage your schedule entirely within Procore. Subsequent file imports append new activities rather than overwriting existing tasks. (Note: Lookahead features are not available for Option 2).

Things to Consider

  • Required User Permissions:

    • Admin' level permissions on the project's Scheduling tool.

  • Supported File Types:

    • Supported File Types:

      • Standard: .ppx (Phoenix), .mpp (MS Project), .xer (Primavera P6).

      • Beta (Import Only): .pp (Asta Powerproject) and .xml (MS Project).

    • Third-Party File Management (Option 1 Only):

      • Always use Save (not Save As) in your native scheduling software to preserve internal activity IDs mapped to Procore Lookaheads and Submittals.

      • Do not use Save As, as it generates new internal IDs, breaking links to existing Lookaheads and integrations.

    • Limitations: The latest cloud versions of P6 .xer files are currently not supported.

Steps

  1. Navigate to the project's Scheduling tool.

  2. Select your desired scheduling path below:

Option 1: Import a Read-Only Schedule

Important
  • If you are simply updating the current schedule, you can upload the file directly without clearing it.

  • If you are uploading a new schedule with different tasks, you must Reset the Project Schedule first to avoid an error indicating that no tasks on the file match the project tasks.

  1. Ensure your master schedule is saved in a supported format (.mpp, .xer, .ppx, .pp, or .xml).

  2. Click Import Read-Only Schedule.

  3. Click Attach File(s) to select your file, or drag-and-drop the file into the upload area.

  4. Click Import.

Option 2: Create an Editable Schedule

  1. Choose your starting method:

    • File Import: Click Attach File(s) or drag-and-drop an existing schedule file. (Future imports will append new activity information to existing tasks).

    • Start from Scratch: Set the Start Date, select a default calendar, and click Create.

  2. Click Import (if uploading a file) or Create (if starting from scratch).
