Perform Bulk Actions on Correspondence Items

Things to Consider

  • Required User Permissions:

    • 'Admin' level permissions on the project's Correspondence tool.

  • Additional Information

    • If Procore was asked to enable the 'non-editable' setting at the company level, only 'Draft' correspondence items are editable in bulk. A blue banner appears in the Correspondence tool's list view: "To keep information accurate for all recipients, bulk editing is disabled for items that have already been issued."

 Note
  • Reach out to your Procore point of contact if you want for Private correspondence items to be hidden from users with 'Admin' level permissions at the company or project level, ensuring they will not have the ability to view or respond to private items unless they are specifically included on the correspondence item. (If your company is based in Australia or New Zealand, this additional level of privacy will be enabled by default).

  • You can always see who has permissions to private items via the 'Permissions' tab when viewing a correspondence item.
    OR
    'Standard' level permission or higher on the project's Correspondence tool.
    AND
    You must be the creator of the correspondence or a user listed in the item's 'Assignee', 'Received From', or 'Distribution' fields. Additionally, users who belong to the same companies as the users listed on the correspondence item can also respond to private items if the General Correspondence type has the granular permission of 'Respond to Private Items Accessible to Users within Same Company' enabled.

Steps

  1. Navigate to the project's Correspondence tool.

  2. Click the List tab.
    This reveals a list of all the correspondence items on the project.

  3. Select the checkbox next to each Correspondence item you want to bulk modify. To locate all desired items, use your preferred method:

    • Group by type: Select Type from the Select a column to group dropdown menu to organize the table into collapsible sections by correspondence type.

    • Search or Filter: Click All Filters to expand the filter panel. You can filter by standard fields, such as Status or Assignees or select specific correspondence types at the top of the panel to filter by custom fields. Use the Search filters bar to find filters by name. See Search, Sort, and Filter Correspondences.

  4. Click Edit Icon Edit2 to bring up the Edit Values menu.
    Note: If no Edit option appears, Procore was asked to enable the non-editable setting at the company level to keep communication records accurate for all Open and Closed items in the Correspondence tool. For those accounts, you can only edit items with a 'Draft' status.

  5. Edit field values as needed.

  6. Click Apply.
    This applies the specified edits to your selected correspondence items.
