View and Export Full-Page Workflow History at Company level

Background

Reviewing workflow decisions across multiple items often requires navigating through individual side panels, leading to manual workarounds like copying data into spreadsheets. The full-page workflow history viewer provides a centralized, filterable view of an item's complete workflow history with one-click PDF and CSV export capabilities.

Things to Consider

  • Required User Permissions: 'Read Only' level permissions or higher with the 'View Workflow History' permission on the applicable tool. 

  • The workflow history viewer Permission is gated by the existing "View Workflow History" permission

  • Exports performed on active workflows include only currently completed steps. 

  • For items with multiple workflows, the most recent workflow renders at the top, followed by prior histories.

  • PDF and CSV exports any active filters and visible columns configured on the page.

  • Admins can configure default workflow history filter options in Workflow Settings. 

Steps

View and Configure Full-Page Workflow History 

  1. Navigate to the desired item in Procore. 

  2. From the workflow side panel, click the vertical ellipsis icon. 

  3. Click View Event History. This opens the full-page History Viewer.

  4. The following information is available in the viewer:

    • Step

    • Event Type

    • Response

    • Details

    • Action By

    • Comments

    • Attachments

    • Duration

    • Due Date

    • Step Status

    • Start Date (Shown by default; default sort key) 

    • End Date (Configurable column; off by default)

  5. Optional: Click the Configure icon on top right. This will open the table setting panel.

  6. Toggle any of the column visibility on or off from the setting panel.

Filter Workflow History 

  1. Click on the filter icon. This will open the Filters panel.

  2. The following information is available in the viewer:

    • Step

    • Event Type

    • Response

    • Action By

    • Comments

    • Attachments

    • Due Date

    • Date range start

    • Date range end

Note:

  • History Viewer allows you to perform quick Filters on Step, Action Type, Action By.

  • Default filters use the same options as the individual item quick filters.

Export the Workflow History

  1. Click on the Export drop-down. 

  2. Choose one of the following options: 

    • CSV: Generates a table on a spreadsheet that displays the data. The Item Name and Item URL columns are always included as the first two columns and cannot be configured. Other columns include Step, Event Type, Response, Details, Action By, Comments, Attachment Name, Attachment URL, Duration, Due Date, Step Status, and Start Date. Attachments are not provided as hyperlinks. Instead, each attachment is listed in a separate unique row with its name and URL. 

    • PDF: Generates an expanded table view honoring active filters and visible columns. Includes thumbnail previews and hyperlinks to attachments in Procore, along with a 'Pins' column with clickable links to pin locations. 

Note: End Date is included as  an additional data point in exports. 

Workflow Edit event type in the History Viewer

Any changes made to a workflow after it starts appear in the history viewer as a Workflow Edit event. If multiple changes are saved at the same time, they are grouped into a single history entry with one timestamp.

All edits made to in-flight workflows, including bulk assignee replacements, configuration changes, and version or template updates, are also recorded as a single Workflow Edit event. Details about the specific changes are available in the Details column.

Note: The Event Type quick filter includes a Workflow Edit value.

What it means

Temporary Replacement

Someone was temporarily swapped in for an assignee (for example, to cover an absence). The original assignee returns afterward.

Permanent Replacement

An assignee was permanently swapped out for someone else going forward.

Individual Assignee Added

A specific person was added as an assignee on a step.

Individual Assignee Removed

A specific person was removed from a step.

Response Requirement Update

The response type or requirement level for an assignee was changed. Covers all requirement changes including when a role, group, or individual is made not required.

Step Participant Update

Responders within an assigned role or group were changed by checking or unchecking who participates.

Days to Complete Update

The number of days allowed to complete a step was changed.

Workflow Manager Update

The person managing the workflow was changed.

Distribution Group Update

The distribution group associated with the workflow was changed.

Workflow Renamed

The workflow's name was changed.

Step Renamed

A step's name was changed.

Step Added

A new step was added to the workflow.

Step Removed

A step was removed from the workflow.

Step Reordered

A step was moved to a different position in the workflow.

Step Routing Changed

How the workflow moves from one step to the next was changed.

Assigned Roles Changed

The roles assigned to a step were changed.

Notification Recipient Changed

Who gets notified about the workflow was changed.
