Level Bids for a Bid Form

Background

Bid leveling allows your preconstruction team to evaluate different subcontractor proposals equitably. By lining up submissions side-by-side and comparing them line-item by line-item against your internal budget or a chosen benchmark, you can easily spot scope gaps, identify outliers, and ensure you are choosing the right partner based on complete and accurate financial data.

Things to Consider

  • Required User Permissions on the project's Bidding tool.

  • Additional Information:

    • Bids can only be leveled after a bid form has been created and bids have been received.

    • This feature only works for newer bid packages that have response types configured (after October 2023). See Create a Bid Form.

    • Leveled bids can be converted to a Subcontract or a Purchase Order.

    • Fields that have been edited will have a triangle in the upper right corner of the cell.

Steps

  1. Navigate to the project's Bidding tool.

  2. Click the name of the relevant bid package.

  3. Click the bid form name.

  4. Click the Bid Leveling tab.

  5. Click the Leveled Bids view.

  6. Take any of the following actions:

Edit Base Bid Line Items

  1. Click a field you want to edit in the 'Base Bid' section.

  2. The menu options adjust based on the 'Response Field Type' selected on the bid form.

    • Amount:

      Show/Hide Menu Options

      • Amount: Enter a new number here to manually adjust the bid-leveling total. This overrides the calculated total without changing the company's original submission.

      • Note: Type clarification details, internal reminders, or justification text in this box to explain your leveling adjustments.

      • Line Item Color: Choose a color to highlight or categorize this line item. Select the removeIcon - Remove Itemicon to clear it.

      • View Activity: Click this button to open a history log that displays all previous changes, timestamps, and user actions for that line item.

        • This button becomes active once history is available.

    • Include/Exclude:

      Show/Hide Menu Options

      • Include/Exclude: Decide whether a line item is active or inactive in the leveling process.

        • Include: Includes the line item's value in leveling calculations.

        • Exclude: Excludes the line item's value from leveling calculations but keeps the original submission data.

      • Amount: Enter a new number here to manually adjust the bid-leveling total. This overrides the calculated total without changing the company's original submission.

    • Unit & Quantity:

      Show/Hide Menu Options

      • Quantity: Enter a number to manually change the total units for a line item.

      • Unit Cost: Enter the specific cost per individual item, hour, or unit of measurement.

      • Unit Type: Select a predetermined unit of measurement from the drop-down menu to clarify how the quantity is measured.

      • Total: The system automatically calculates this value by multiplying the Quantity by the Unit Cost.

      • Line Item Color: Choose a color to highlight or categorize this line item. Select the removeIcon - Remove Itemicon to clear it.

      • View Activity: Click this button to open a history log that displays all previous changes, timestamps, and user actions for that line item.

  3. Click Add to save changes.

Add Private Line Items

  1. Click the Add Icon Plus 2 icon.

  2. See Create a Bid Form to learn how to add Sections and Line Items.

  3. When finished, click Save.

Alternates

  1. Move the toggles Icon Toggle On ON to show alternates.
    OR
    Move the togglesIcon Toggle Off OFF to hide alternates.
