Create a Meeting (Android)

Background

You can create a new meeting and detailed agendas for your project meetings. The first step in the process is to create the meeting. This process lets you set the date, time, location, and attendees.

Once the meeting is created, you can move on to create categories, which are used to group agenda items into subjects. Then, you can add the individual agenda items to your categories. In addition, you can create a follow-up meeting.

Note: You can also create a new meeting from templates in Procore mobile apps. See Create a Meeting from Templates (Android).

Things to Consider

  • You can configure what items are created with the quick createIcon Plus Quick Create Mobile2icon, see Configure Quick Create Settings.

  • This action can be performed offline. Tasks performed offline sync with Procore once a network connection is reestablished.

Steps

  1. Open the Procore app on an Android mobile device and select a project.
    Note: This loads the Tools screen for the project.

  2. Do one of the following:

    • Tap the quick createIcon Plus Quick Create Mobile2icon and select Meeting.

    • Tap the Meetings tool and tap the createIcon Plus Quick Create Mobile2icon.

  3. Tap into the following fields to enter the appropriate information:

    • Title: Type a name or subject for a new meeting.

    • Date: Use the calendar icon to select a date for the meeting.

    • Location: Select a location for the meeting.

    • Private: Mark this checkbox if you want to restrict viewing of this meeting item in the Meetings log to invitees of the meeting and users with 'Admin' level permissions to the Meetings tool.

    • Draft: Mark this if you want to keep the meeting in "Draft" mode.

    • Start Time: Enter a start time for your meeting.

    • Finish Time: Enter a finish time for your meeting.

    • Attachments: Tap one of the following options:

      Show/Hide

      1. Choose from Library

        1. Tap the folder from which you would like to upload a photo.

        2. Tap each photo you would like up upload.

        3. Tap Done.

      2. Choose from Procore

        1. Tap the album from the project's Photos tool that has the photo(s) you want to include on the inspection.

        2. Tap one or many photos to include.

        3. Tap OK in the top right.

      3. Take photo

        1. Take the photo be positioning your device's camera, then tap the camera icon.

          1. Tap the menu overflow icon (three vertical dots) to see the following options.

            • Tap the geotag button to turn geotagging off or on.

            • Tap the camera rotate icon to toggle between the front and back camera of your device.

            • Tap the clock icon to turn time stamps on or off.

        2. Mark up the photo by using the photo markup toolbar, which is similar to the drawings markup toolbar.

        3. Tap Save.

      4. Quick Snap

        1. Tap Quick Snap.

        2. Take the photo be positioning your device's camera, then tap the camera icon.

          • Tap the checkmark icon to exit and return to the inspection item.

          • Tap the menu overflow icon (three vertical dots) to see the following options.

            • Tap the geotag button to turn geotagging off or on.

            • Tap the camera rotate icon to toggle between the front and back camera of your device.

            • Tap the clock icon to to turn time stamps on or off.

    • Attendees: Invite attendees by selecting each person from the list. The users in this drop-down are populated from the project Directory.

    • Overview: Enter a meeting overview.

  4. Tap Create.
    The new meeting is created.

  5. To create a follow-up meeting (without switching to the web) , do the following:

    1. Tap the Follow-up Meeting option in the new meeting screen.

    2. Edit the meeting details.
      You can edit the Title, Date, and Start Time in the new follow-up meeting.​​​​

    3. Tap Create.

  6. Use the following options in the new meeting screen.

    1. Distribute Agenda: Tap the Icon Ellipsis Options Menu3 icon (located next to Edit) to see this option. Use this option to distribute the meeting agenda.

    2. Convert to minutes: Use this option to convert the meeting to minutes. When you choose this option, you are allowed to use the Follow-up Meeting option.

    3. Distribute Minutes: This option is available in the follow-up meeting screen. Tap the Icon Ellipsis Options Menu3 icon (located next to Edit) to see this option. Use this option to distribute the meeting minutes.

    4. Revert to Agenda: his option is available in the new meetings screen. Tap the Icon Ellipsis Options Menu3 icon (located next to Edit) to see this option. Use this option to move the meeting back from minutes mode to agenda mode.
