Change a Project's Status to Active or Inactive
Background
Managing project statuses allows teams to control access and visibility for project data in Procore. Setting a completed project to inactive restricts ongoing activity while retaining historical project data. An active project status keeps the project visible on active selection lists and enables ongoing project management workflows.
Things to Consider
Required User Permissions:
'Admin' level permissions on the Project level Admin tool.
OR'Read Only' or 'Standard' level permissions on the Project level Admin tool with the 'Update General Settings' granular permission enabled on your permissions template.
Additional Information:
When you create a project in Procore (see Create a New Project), the system places it in the 'Active' status by default.
When a Project is Active:
Indicates the project is in-progress and in an active state. Project actions for administrators and end users are available. This is the default state of a new Procore project.
When a Project is Inactive:
Inactive projects are not visible by default in the company's Portfolio tool, but they can still be viewed. See View Inactive Projects in the Company Portfolio.
Automatic overdue emails will only be sent for RFQs, Workflows, and Custom Tools. They are no longer sent for Action Plans, Correspondence, Observations, Punch List, RFIs, Submittals, and Tasks.
Inactive projects will not appear as an option in Company Reports.
You cannot extract data from inactive projects using Procore Extracts.
When accessing inactive projects via the mobile app, please note that data visibility is limited. Currently, you can only view data for Drawings on both iOS and Android platforms.
Users in the project directory can still access the project through Portfolio or Procore Home, and create items if they have the right permissions.
Items/tags/filters in that project will still prevent deletion at the company level (for example, Trades or Stages).
Single Tool Reports do not support reporting on inactive projects; however, 360 Reports do.
Fieldsets can still be applied.
Weekly Schedule notifications will not be sent.

Steps
Navigate to the Project level Admin tool.
Make sure the General page is selected.
Under Project Information, locate the Active or Inactive toggle.
Click the toggle to the ON
position to set the project to Active.
OR
Click the toggle to the OFF
position to set the project to Inactive.Click Update.
