Enable or Disable Public Links for Photos in Analytics Reports
Background
The 'Open Photo Link Access' setting allows you to manage access to hyperlinked URLs for photos found in the prostore_file_url field within the Photo table of your out-of-the-box Analytics or custom Power BI reports. This setting enables you to control who can access photo links in Power BI reports. This feature is useful for integrating Procore photos into external reporting tools, such as Power BI, which do not support authenticated links. It also helps share visual data with external stakeholders who do not have access to Procore.
Users with access to Power BI reports containing public photo links can view or download photos from the specific Procore projects they are permitted to access. When you share a public photo link or a Power BI report that includes one with an external stakeholder, they will be able to view or download the image without needing to log in to Procore. Clicking on the link will open the image in a new browser window with a black background.
You can use public photo links to:
Embed project photos into custom dashboards.
Display project images as interactive data points on maps.
Download project photos to a local system.
Things to Consider
Additional Information:
Public links are only available for photos.
Enabling this setting does not change, bypass, or affect your permissions in Procore. Your standard project and “Photos” tool permissions remain fully secure.
If you disable this setting, all existing public photo links become restricted immediately. Only authenticated Procore users with the appropriate permissions can view or download photos within your Procore account at the company and project levels.
By default, all photo links are secured and require a Procore account for authentication.
If a photo link is invalid, a company administrator may have disabled or refreshed the link. Reach out to the person who shared the report with you.
You can view the history of photo link events in the Audit Log. This log displays the exact Timestamp, the specific Action taken (Enabled, Disabled, or Refreshing), and the email address of the User who performed it. For details on refreshing photo links, see Refresh Photo Links in Analytics Reports.
