Create a Resource Request

Background

Resource requests efficiently inform your team that you need resources for a particular project. Create a resource request when you need a resource but aren't sure who to assign, or if you lack the permissions to create assignments yourself.

After a request is created, a resource can be assigned to fill that request. See Fill a Resource Request.

Things to Consider

Steps

You can create requests from the following places in Resource Planning:

Create a Resource Request from Assignments Boards or Gantt

  1. Navigate to the Company level Resource Planning tool.

  2. Click Assignments and select Boards or Gantt.
    OR
    From the heading bar with the project's name, click the ellipsis Icon Ellipsis Wfp, and select Create Request.

  3. Under the desired project, click the ellipsis Icon Ellipsis Wfp, and select Create Request.

  4. Fill out the 'General' request information.

  5. Optional: Custom Fields. Enter information for any request custom fields. See Configure Custom Fields for Resource Planning.

  6. Optional: Select Scope of Work to describe the scope of work.
    Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request.

  7. Optional: Select Assignment Instructions to provide additional instructions.
    Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request.

  8. Optional: Select Comments to add any comments.
    Note: Information entered here is not included in any assignment alerts.

  9. Click Save.

Create a Resource Request from the Assignments Gantt (Beta)

 Tip

You can also create this by creating a copy of an existing item on the Assignments Gantt.

  1. Navigate to the Company level Resource Planning tool.

  2. Click Assignments and select Gantt (Beta).

  3. On the list, right click the project, category or subcategory for the assignment and select New Request.
    Note: You can also hover over the project, category, or subcategory and click the vertical ellipsis Icon Ellipsis Vertical and select New Request.

  4. Enter the 'Specification' information. Show / Hide Steps

    • Select the Project.

    • Select the Category.

    • Select the Subcategory.

  5. Enter the 'Resources Needed'. Show / Hide Steps

    • Labor

      • Select the Job Title.

      • Select the Quantity of labor requests to create.

    • In Beta

      Equipment.

      1. Select the Equipment Type needed.

      2. Select the Quantity of equipment requests to create.

  6. Enter out the 'Schedule' information. Show/Hide Fields

    • Start Date. The date the work assignment starts.

    • End Date. The date the work assignment ends.

    • Time or Allocation.

      • Moving the 'Set Assignment by Start Week and Duration' toggle to the ON Icon Toggle On position allows you to enter the Start Time and End Time for the assignment.

        • Overtime. If an assignment allows for overtime, You can the 'Overtime' toggle to the ON Icon Toggle On position.

          • Overtime Rates. The overtime rate for each day of the week.
            For example, overtime on a weekday may be 1.5 for time and a half, and 2 for double time on the weekend.

          • Pay Split. How many hours a person must work to initiate overtime.

            • Overtime. After the standard wage, how many hours in a shift that are considered overtime.

            • Standard. How many hours in a shift are considered the standard wage.

            • Unpaid. How many hours in a shift are unpaid.

              Example
              • 12 Hour Shift, Paid Lunch - The pay split would be 8 hours standard, and 4 hours of overtime.

              • 12 Hour Shift, Unpaid Lunch - The pay split would be 8 hours standard, 3 hours overtime, and 1 hour unpaid.

      • Moving the 'Set Assignment by Allocation' toggle to the ON Icon Toggle On position allows you to enter the Percent of the person's time that is Allocated for the request.

    • Work Days. A checkmark indicates a work day for the request.

    • Status. The assignment's status.

  7. Additional Information. Enter information for any request custom fields. See Configure Custom Fields for Resource Planning.

  8. Enter the Scope of Work.
    Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request.

  9. Enter Assignment Instructions.
    Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request.

  10. Enter any Comments to add any comments.
    Note: Information entered here is not included in any assignment alerts.

  11. Click Create.

 Tip

Click the undo Icon Gantt Undo icon to undo an action. Click the redo Icon Gantt Redo icon redo a previously undone action.

Create a Resource Request from the Requests List (Beta)

  1. Navigate to the Company level Resource Planning tool.

  2. Click Requests and select Requests List (Beta).

  3. Click Create.

  4. Enter the 'Specification' information. Show / Hide Steps

    • Select the Project.

    • Select the Category.

    • Select the Subcategory.

  5. Enter the 'Resources Needed'. Show / Hide Steps

    • Labor

      • Select the Job Title.

      • Select the Quantity of labor requests to create.

    • In Beta

      1. Select the Equipment Type needed.
