View a Bid Package (Planroom)

Background

The Planroom tool offers a secure space for project teams and external bidders to manage bid documents. Bidders without an account can still view project details, download drawings, and review instructions directly via their web browser. Use Planroom to track milestones and other deadlines, ensuring all proposals are accurate and on time.

Things to Consider

  • Required User Permissions:

    • ‘Read Only’ level permissions or higher on the project’s Planroom tool.

  • Additional Information:

    • Your bid package is organized by individual bid forms. If you were invited to multiple forms, each will appear as a separate link in the planroom list view.

    • If your company has not yet been invited to a bid package, it will not appear in your list.

    • You can only view bid packages that are currently active.

Steps

  1. From the Invitation to Bid email, click View in Procore to log in and view the bid form. Continue to step 6.
    Note: If this is your first Procore bid invitation, you will be prompted to create a password for your account using your email address as the login.
    OR
    Go to https://app.procore.com or https://login.procore.com.

  2. Enter your Procore login credentials.

  3. Select the relevant company from the Select a company list.

  4. Navigate to the company level Planroom tool.

  5. Select the relevant bid package.

  6. If prompted, sign the non-disclosure agreement. See Sign a NDA for a Bid Package.

  7. Use the following tabs to track and organize your bid package activity:

    • Bid: Use this tab to view the central details of the bid invitation and submit your bid proposal.

      • Overview: Includes Project Name, Project Address, Bid Due Date, Bid Package Name and Bid Form Name.

      • Project Description: Read a summary of the project goals and scope of work.

      • Bidding Instructions: Review specific requirements for your proposal, such as labor rates, tax inclusions, and deadlines for RFIs.

      • Bid Information: Includes the Anticipated Award Date and the Site Walkthrough Date.

    • Documents: Access and download all relevant files, drawings, and specifications associated with the bid package.

    • Correspondence: Solicitors can send a one way message to all bid package recipients. Bidders can view the message but can not respond to this chain.

    • Emails: View a history of all email notifications and communications sent regarding this package. Solicitors respond using Procore’s Bidding tool, while bidders can reply directly from their own email.
