Configure Settings: Company Direct Costs Tool

The Configure Settings in Company Direct Costs tool allows administrators and authorized users to manage the setup of the tool. These settings control the tool's behavior and data processing. Configuring these settings allows your company to automate the creation of direct costs and define which project roles have visibility for approvals. By leveraging AI and email integration, you can reduce manual data entry and streamline your financial workflows.

Things to Consider

  • Required User Permissions:

    • 'Admin' level permissions on the Company Direct Costs tool.

  • Additional Information:

    • Procore recommends managing permissions to this tool with a permissions template. See Create a Company Permissions Template.

    • Ensure you know the project name and the users to assign permissions.

    • For email forwarding, Procore only accepts .pdf, .jpg, and .png file name extensions.

    • AI Autofill is currently in a Beta testing phase.

Prerequisites

The Direct Cost tool must be active for your company.

Steps

  1. Navigate to the  Company Direct Costs tool.

  2. Click the Configure Settings icon.

  3. Click the Edit button.

  4. See the sections below for details on the settings that you can configure for projects:

AI Autofill

Procore’s AI Autofill features allows you upload or email a document to the Direct Costs tool, the AI scans the file to identify key data points and automatically populates them and eliminates the manual entry of financial data.

  1. Navigate to the Company level Admin tool.

  2. Under 'Tool Settings', click Direct Costs.

  3. Locate the 'AI Autofill' section.

  4. Mark the Enable AI Autofill checkbox.
    Note: When enabled, Procore's AI will automatically populate fields by reading your uploaded files.

Email Forwarding

Procore’s Email Forwarding feature is designed to streamline your accounting workflow by allowing you to bypass manual data entry. By sending your digital receipts or invoices directly to a project-specific email address, Procore automatically generates a Direct Cost entry for you to review.
