User Guide Procore Connect For Submittals

Procore Connect for Submittals enables Procore customers to connect their projects so that distributed submittals are automatically synced and kept up to date with the Sending project. The connection is one way, providing Receiving projects with a read-only record of submittals from a Sending source project. This ensures all project participants are working from the most current documentation without the need for manual data entry or file transfers.

• Eliminate Manual Work: Automatically imports completed submittals and updates, removing the need to manually download and re-upload files from Sending project partners.

• Real-Time Accuracy: The system continuously monitors the Sending project, ensuring that any re-distributions, status changes, or new revisions are reflected in the Receiving project immediately.

• Sync Options: When a submittal is distributed, you can choose how items sync to your account:

  • All Distributed Submittals: Choose to receive all submittals across the project.

  • Participating Distributed Submittals Only: Receive synced copies only when someone from your company is a: Submittal Manager, Submittal Reviewer, Workflow Participant, or Distribution List Member ).

• Permanent Record: Once synced, connected submittals serve as an unalterable, read-only record of the Sending project's document within your own Procore environment.

• Self-Service Management: Easily disable, re-enable, or reset your connections at any time without contacting support.

• Read-Only Access: Connected submittals are read-only and appear under the External Items tab in the Submittals tool.

• Included Data: When viewing an external submittal in your project, you will see the Distribution Summaries and General Information.

  • Cover Sheet: The downloadable cover sheet will be an exact replica of the file in the Sending account.

  • Attachments: Only the attachments selected during distribution will sync to the Receiving account.

• Excluded Data: The Submittal Workflow table, Delivery Information, Submittal-Schedule, and Submittal Plan data are not displayed in this view.

• Automatic Maintenance: No manual action is required to maintain versions. If the Sending project re-opens or a new revision is issued, the changes reflect automatically in the Receiving project.

• Access: External Submittals are accessed in the Receiving project via a new "External Items" tab in the Submittal tool. Submittals admins and users with the new "View Connected Submittals" granular permission can view them.
