Create an Email

Background

The Emails tool in Procore lets you perform basic email functions, such as creating, sending, replying to, and forwarding messages. All incoming and outgoing messages are stored in the Emails tool so that you can keep your project communications secure in one place. You can also use the project's unique 'inbound email address', which can be added to the 'To' or 'CC' fields in any email program, to communicate about the project with Procore and non-Procore users.
See Send An Inbound Email to the Project's Emails Tool.

Things to Consider

  • Required User Permissions:

    • 'Standard' or 'Admin' permissions on the project's Emails tool.
Only users that exist in the project's Directory tool are shown in the 'To' and 'CC' drop-down menus.

  • Additional Information:

    • Default Distribution Lists: If an 'Admin' has created a 'Default Distribution' list, its members will receive ALL emails created in or sent from the Emails tool, including messages sent via the inbound email address and emails marked 'Private'.

    • Rich text, multi-level lists, basic tables, and hyperlinks pasted from external applications like MS Office (Word) and Google Sheets will retain their original formatting without requiring manual rework.

    • Email Delivery: If recipients report missing emails, see our FAQs:

Steps

  1. Navigate to the project's Emails tool.

  2. Click Create Email.

  3. Complete the data entry as follows:

    • To and CC. Start typing a name to search the Project Directory for a list of matching recipients, then select the user or distribution group.

    • Private. Mark this checkbox to set the new email to 'Private'. A private message can only be viewed by the user who created the message, users with 'Admin' level permission to the Emails tool, and Company Administrators.

    • Subject. Enter a subject line for your email message.

    • Attachments. Click Attach File(s) or use a drag-and-drop operation to move files from your computer to the Drag-and-Drop File(s) area.

    • Message/ Body. In the rich text editor box, type your email message. You can format your text using the upgraded toolbar:

      • Insert or Paste Images: Paste or insert images directly inline with your text. Images scale responsively on web and mobile and support optional captions.

      • Create Multi-Level Lists: Use the toolbar to create and edit nested ordered (numbered) and unordered (bulleted) lists.

      • Insert Hyperlinks: Highlight text and click the link icon to insert external URLs using the Procore secondary button style.
Note: Internal bookmarks and anchor links are not supported.

      • Insert a Table: Click the Table icon to embed a grid. Use the inline menu to manage columns, rows, and specific cells.

      • Additional Tools: Use the toolbar to apply Subscript, Superscript, add a Code Block, insert Special Characters, add a Horizontal Line, or use the Eraser icon to remove custom formatting.

    • Markdown Shortcuts: You can also use standard Markdown to format your text quickly:

      • Heading 1: Type # + Space

      • Heading 2: Type ## + Space

      • Heading 3: Type ### + Space

      • Blockquote: Type > + Space

      • Bold: Type text or __text__

      • Italic: Type text or _text_

      • Strikethrough: Type ~~text~~

      • Bullet List: Type * + Space or - + Space

      • Numbered List: Type 1. + Space

      • Divider: Type --- (three dashes) on a new line

  4. Click Send.
This adds the email to the Procore application's outgoing email queue. Your sent email and any of its responses will be shown in the Inbox tab of the Emails tool.
