What are the differences between Diagram and Linear Workflows Format?

Best suited

Used for workflows that require complex routing, branching, and conditional logic.

Used for sequential approval and hand-off processes with a step-by-step flow.

Authoring experience

Node-and-branch visual canvas.

Table-based, step-by-step builder.

Workflow structure

Supports complex routing and conditional branches.

Supports simple response routing, where responses can route to the next step or back to a previous step. 

Step configuration

Configure workflow steps and routing logic using the visual diagram.

Configure step names, item status, assignees, and days to complete in the table. Advanced step configuration is available in a panel.

Step management

Steps are managed within the diagram using nodes and branches.

Steps can be added, reordered, renamed, or deleted.

Project-level configuration

Supports standard workflow template configuration.

Supports adding individuals directly to a step, temporarily skipping individuals from groups, and managing custom role members. 

Item-level configuration

It is not supported in the Diagram.

It is supported for Observations when enabled by your company or administrator. Additional tool support is currently TBD.

Workflow format

Cannot be converted to Linear after creation.

Cannot be converted to Diagram after creation.
