What is Bidding Directory Decoupling?

Bidding Directory Decoupling allows you to invite vendors from the Procore Construction Network directly to a bid package without requiring them to exist in your Company or Project Directory first. This helps optimize directory management by allowing bidders to complete the entire bidding process before you choose to add them to your directory.

Current Steps

  1. Navigate to the project's Bidding tool.

  2. Click the name of the relevant bid package.

  3. Click the Bidding tab.

  4. Click the plus Icon Plus 2 icon on the same row as the bid form.

  5. Click the bid form name.

    1. Click the Bidders tab.

    2. Click Add Bidders.

  6. In the Filters side menu under Company Source, select Construction Network.

    • Search for bidders exclusively within the Procore Construction Network.

  7. To narrow the list of companies, use the following search and filter tools: Show/Hide Details

    • Search: Search by vendor name, address, or company details.

    • Filter:

      1. Click the All Filters Icon Filter2 icon.

      2. Select one or more filters to apply:

        • Show Selected Only: Move the toggle ON Icon Toggle On to show your selected bidders.

        • Previous Bidders: Select a previous bid package or bid form to show all bidders associated with that item.

        • Company Source: Choose where to find bidders: your Procore Company Directory, the Procore Construction Network, or both (All Sources).

        • Service Area: Enter City, State or Zip Code.

          • Select a distance parameter from the mileage drop-down menu to define your search radius.

          • Search by Office Address Only: Move the toggle ON Icon Toggle On to only show companies that have offices within the area searched.

        • Trades: Select all trades that apply.

        • Cost Codes: Select one or more cost codes to filter for bidders associated with specific types of work.

        • Business Classifications: Select all Business Classifications that apply.

        • Company Types: Select all Company Types that apply.

        • Union Member: Move the toggle ON Icon Toggle On to filter for vendors who are members of a labor union.

        • Authorized Bidders Only: Move the toggle ON Icon Toggle On to to display only those vendors officially authorized to bid by your organization.

        • Minimum Average Rating: Select a star rating to filter for bidders who meet your company's minimum performance standards.

        • Market Sectors: Select all Market Sectors that apply.

        • Project Types: Select all Project Types that apply.

        • Average Contract Value: Select an option from the drop-down menu to filter vendors by financial capacity.

      3. To remove filters:

        • Click the x on an individual filter to clear it.

        • Click Clear All Filters to clear all filters.

  8. Optional: Click the Company name to view its details.

  9. Mark the checkbox for the companies you want to add to the bid form.

  10. Click Add Bidders.

    Note

    The Company Directory option will not appear in the settings Icon Ellipsis Vertical menu until you add the company to your Directory tool.

  11. Click Invite.

  12. The 'Invite Bidder' menu will open, letting you know the company will be added to your directory when you send the invitation.

  13. To continue sending the bid invitation, click Send.

What is required to see this feature?

You must be a participant in the Bidding Directory Decoupling Closed Beta.

Does this keep vendors out of my directory entirely?

Not yet. In Phase 1, the company is still automatically added to your directory, but only when you officially send the invite, rather than requiring manual creation beforehand.

What will future phases look like?

Future phases aim to keep vendors completely decoupled from your directory through bidding, submitting, and bid leveling, only adding them if/when you decide to award work.
