Why can't I submit my document revision for a workflow?

Regional availability

The Document Management tool is available to accounts in the following countries: United Kingdom, Ireland, Australia, and New Zealand. It is not yet available for Procore accounts in the U.S. To learn more, please reach out to your Procore point of contact.

Background

To maintain data integrity and prevent conflicting instructions, the system allows projects to enforce a linear workflow policy. This prevents the condition where multiple versions of the same document are being reviewed or approved simultaneously by different stakeholders. By requiring an Admin to terminate an existing workflow before a new revision is submitted, the project ensures that only the most current information is being processed, eliminating the risk of approving outdated revisions or creating overlapping audit trails.

Answer

If your project has the Prevent multiple documents going through workflow setting enabled, you cannot submit a revision if a previous version is still in an active workflow. If you do not have 'Admin' or 'Workflow Manager' permissions, you will see a message to Contact your admin to proceed. An authorized user must terminate the existing workflow before the new revision can be submitted.
