Configure Project Level Naming Convention for Assets

Background

Company Admins can configure naming standards and auto-generation rules so that asset names follow a consistent format across your project. This helps avoid duplicates and supports cleaner data for reporting and handover.

Things to Consider

  • Required User Permissions

  • You can add custom fields to the naming convention. You will need to select fallback values for each field should an assets not have the custom field in their fieldset.

  • The Project level naming convention is applied to all assets created in that project.

  • If an asset is created at the Company level and then assigned to a project with a different naming convention than the one set at the Company level, the Project level naming convention is applied to the asset.

  • In the Company level Assets tool, assets retain the project level naming convention.

Steps

  1. Navigate to the Project level Assets tool.

  2. Click the configure settings Icon Settings Gear Grey3 icon.

  3. Click the caret Icon Arrow Expand next to Naming Standard to expand the section.

  4. Click Create or Edit.

  5. Modify or create options for the Naming Standard as necessary:

    • Click the Add Icon Plus Quick Create Mobile2 icon, and mark the checkboxes for the fields you want to add or remove from your naming standard. Click Save Changes.

    • Click the grip Icon Reorder Grip icon and drag the field to the correct place in the order.

    • Click the X Icon Markup Close X icon to delete the field from your naming convention.

    • Click Configure Field Values to manage fallback values and formatting rules to ensure your Asset IDs generate consistently. Click Save Changes.

    • Select the Separator value from the dropdown list.

  6. Click Configure Field Values.

    • Enter the fallback values should the fields not be available for certain asset types.

    • Select the field length for each field in the naming convention.

    • If you added single-select Custom Fields, click Edit Defined Values or Define Field Values.

      1. Enter short codes (2-4 characters) for each drop-down option.

      2. Click Save Field Values.

  7. Review the preview, then click Save.
