Export Assets

Bulk Export to ZIP

You can export multiple assets and their related files at once using the Bulk Export feature. This allows you to download all selected asset records including attachments, related item details and asset’s change history in a single ZIP file.

  1. Apply filters or select a saved view to define which assets you want to export from the Asset Register. If no filters or saved views are applied, all assets will be included in the export.

  2. Click on the vertical ellipses Icon Vertical Ellipsis and select Export Assets.

  3. A window will appear prompting you to enter export details, including:

    • Export Name

    • Output Format: Select Export to ZIP

    • Grouping Options (by Asset Type, Location, or Trade)

    • Folder Structure Order (reorder groups to define how the ZIP folders are organized)

  4. Select which items you want to include in the export:

    • Table of Contents – Provides an overview of the number of assets included.

    • Attachments – Includes all attachments linked to the assets.

    • Related Items – Includes related documents, RFIs, Submittals or other linked records.

    • Change History – Includes the full change log for each asset.

  5. A ZIP file containing the selected assets and chosen information will be generated.

  6. When the export is complete, a download link will appear in the Export Logs panel. An email notification will also be sent once the export is ready.

Bulk Export to Excel

You can export asset data into an Excel file directly from the Asset Register for reporting, offline review, and bulk update workflows.

  1. Apply filters, column configurations, sorting preferences, select a saved view, or select specific assets using checkboxes to define which assets you want to export.

  2. Click on the vertical ellipses Icon Vertical Ellipsis and select Export Assets.

  3. A window will appear prompting you to enter export details, including:

    • Export Name

    • Output Format: Select Export to Excel and click Export

  4. The exported Excel file includes:

    • All standard and custom fields currently visible in the Asset Register grid.

    • Column order, sorting, and applied filters matching the current UI configuration.

  5. For exports containing 3000 or fewer records, the Excel file downloads automatically in the same browser tab. For larger exports, an email notification containing a download link is sent once the export is ready.

Note:

  • The download link remains valid for 7 days.

  • Excel exports support a maximum of 200,000 rows per export.

  • Only users with the Export Data granular permission can access the Excel export functionality.

Export Logs

The Export Logs panel keeps a record of all your ZIP bulk export actions.

  1. Open the overlay menu (three dots) and select Export Logs to view recent exports.

  2. Each log entry displays the export name, status and date created.

  3. When an export is complete, a Download link will appear next to the corresponding log entry.

  4. If an export is completed partially (e.g., some assets or attachments fail to process), an additional link will be available to download the error log.

  5. An email notification is also sent when the export finishes.
