Copy Bid Forms from a Template Collection

Background

Template Collections allow you to standardize your bidding process across multiple projects. Instead of creating a bid form from scratch or searching through old projects, you can pull pre-configured forms directly from your organization’s central library. This ensures consistency in the data you collect from bidders and saves significant setup time.

Things to Consider

  • Required User Permissions to the project's Bidding tool.

  • Additional Information:

    • You can only copy bid forms for packages created after March 18, 2024.

    • Bid forms can be copied from projects that:

      • Use the Enhanced Bidding Experience.

      • Are active and not archived.

      • Have at least one bid form in the bid package.

      • Cost codes from the previous project must match your current project.

Prerequisites

Steps

  1. Navigate to the project's Bidding tool.

  2. Click the name of the relevant bid package.

  3. Click the Bidding tab.

  4. Click the Bid Forms dropdown menu.

  5. Click From Template.

  6. Select the template collection.

  7. Under 'Copy to New Bid Forms', select one the following:

    • Line items and bidders: Copies both the list of cost items and the invited companies from the original bid forms.

    • Line items only: Copies only the list of cost items. Use this if you want to invite different companies to bid on the same scope of work.

    • Bidders only: Copies only the list of invited companies. Use this if you are inviting the same group of companies to bid on a different scope of work.

  8. Under 'Bid Forms', mark the checkboxes for the bid forms you want to copy.

  9. Click Create.
