Create a Custom Status for Project Status Snapshots (Beta)

Custom statuses for project status snapshots are available for the Budget and Project Status Snapshots tools. To enable this feature for all projects and users in your company account, join the Create Custom Statuses For Project Status Snapshots beta program through Procore Explore.

Background

Custom statuses for Project Status Snapshots provide a granular, visual way to track the review and approval process of budgets. You can use them to categorize budget data across all company projects, aligning project tracking with your team's specific forecasting workflows, reporting requirements, and internal standard operating procedures (SOPs).

Each custom status maps to one of the standard status types: Open, Pending, Closed, or Void. This mapping provides clear, color-coded visibility into snapshot records across your organization, making it easy to filter project status snapshots by custom statuses.

Things to Consider

  • Required User Permissions:

    • 'Admin' level permissions on the Company level Admin tool.

  • Additional Information:

    • You can create up to 50 custom statuses per company account.

    • Multiple custom statuses can be linked to the same status type.

    • Two standard statuses (Under Review and Approved) are provided for project status snapshots by default.

    • Each custom status is limited to a maximum of 30 characters. For best readability, Procore recommends creating statuses with 10 characters or fewer.

Steps

  1. Navigate to the Company level Admin tool. 

  2. Under Tool Settings, click Budget

  3. Click the Project Status Snapshots tab.

  4. In the Custom Statuses table, click Add Status.

  5. Configure the following:

    1. Custom Status Name. Enter a unique name for the custom status. For example, "Month-End Final - May 2026", "Pending Executive Review", or "Over Budget".

    2. Status Type. Select one of the following status types:

      • Open

      • Pending

      • Closed

      • Void

  6. Click Save.

  7. (Optional) Available?. Mark or clear the checkbox next to the new custom status to enable or disable it for new or existing project status snapshots.

    Note
    • Custom statuses are enabled by default.

    • The Available checkbox is unavailable for the standard status linked to the Closed status type and the custom status assigned as the Default Status.

  8. (Optional) Default Status. Select the radio button next to the new custom status to set it as the default status for new project status snapshots.
    Note: You can select only one default custom status at a time.
