Create Custom Email Text for RFQs

This content is for Procore users participating in the Change Events : Customizable RFQ Completion Email Messaging Beta Program.

You can now customize or remove the default text in Request for Quote (RFQ) completion emails. This update addresses an issue where these emails previously included a mandatory disclaimer that contradicted with specific project instructions. Managing this text within your settings ensures that vendor communications are clear, relevant, and consistent with your actual project workflow.

Things to Consider

  • The custom email text field is limited to a maximum of 256 characters. Exceeding this limit will prevent your settings from being saved and will trigger an error message.

  • Any line breaks you include in the settings field will be preserved in the actual email sent to recipients.

  • If you leave the custom text field blank, the RFQ completion email will be sent without any additional notice text. The previous hard-coded "notice to proceed" language will no longer be included.

  • These settings apply to the RFQ completion emails, which are sent when an RFQ reaches either 'Pending Final Approval' or 'Closed' status. All other types of RFQ emails are unaffected.

Prerequisites

  • Required User Permissions:

    • 'Admin' level permissions on the project's Change Events tool.

Steps

  1. Navigate to the Project level Change Events tool.

  2. Click the Configure Settings icon.

  3. Click the RFQ Settings section.

  4. Under RFQ Email Notification Message, enter your desired custom message in the Custom Notice text field.

    • Note: You can enter up to 256 characters.

  5. Click Save Changes.

    • Note: A confirmation message appears upon a successful save.
