Create and Manage Packages in the Document Management Tool

Regional Availability

The Document Management tool is available to accounts in the following countries: United Kingdom, Ireland, Australia, and New Zealand. It is not yet available for Procore accounts in the U.S. To learn more, please reach out to your Procore point of contact.

Beta

A new Packages feature is now available for the Document Management tool, allowing project teams to group, track, and sequentially review related documents and placeholders in a dedicated workspace. Learn more about this open beta and how your Procore point of contact can help your team enable it.

Background

Project teams frequently need to manage groups of related files for milestones, bid sets, or review cycles. Instead of relying on rigid metadata tags or throwaway saved views, Document Management allows you to create dedicated Packages. Packages act as central containers with their own metadata, ownership details, and real-time progress metrics (including placeholder fulfillment and workflow bottlenecks). Grouping documents into Packages provides clear milestone context and enables sequential multi-document reviews while maintaining individual document permissions and native review workflows.

Things to Consider

  • Required Permissions:

    • Create Packages: Required to create new Packages.

    • View Packages: Required to view the Packages tab and Package detail pages.

    • Add Items to Packages: Required to add or remove documents/placeholders.

    • Edit Packages: Required to modify Package summary metadata.

    • Delete Packages: Required to move Packages to the Recycle Bin.

  • Document Governance: Adding items to a Package does NOT alter underlying document metadata, permissions or workflows. Users without access to specific documents in a Package will see rollup statistics reflected only for documents they have permission to view.

  • Recycle Bin & Package Deletion

    • Package Soft-Deletion: Moving a package to the Recycle Bin soft-deletes the package container shell only. Any underlying documents and placeholders contained within the package are not deleted and remain active and unchanged in the project's Documents tab.

    • Recycled Package Restrictions: In this release, users cannot view recycled packages in the Recycle Bin tab, nor can they restore or permanently purge soft-deleted packages.

Steps

Create a Package

  1. Navigate to the project's Document Management tool.

  2. Click Add > Create Package.

  3. In the creation modal, enter the package details:

    • Name (Required): Enter a unique title for the package.

    • Package Manager (Required): Select the user responsible for managing the package.

    • Discipline: Select from existing project disciplines (shared field used across both individual documents and packages).

    • Package Type: Select a package type.

      Note: Configured at the company level in Document Management Fieldsets. EX - External and IN - Internal are added by default to all projects, but company admins can remove them or add custom code/value pairs.

    • Originator: Select the originating organization/user (shared field used across both individual documents and packages).

    • Description: Enter free-form text describing the purpose or context of the package.

    • Due Date: Select a target completion or review date for the package.

    • Package Status: Select a status.

      Note: Configured at the company level in Document Management Fieldsets. AR - Archived, CL - Closed, DR - Draft, IP - In Progress, and OP - Open are added by default to all projects, but company admins can remove them or add custom code/value pairs.

  4. Click Create.

Add Items to a Package

  1. Navigate to the Documents or Uploads tab.
    Note: Items can only be added to packages from the Documents or Uploads tabs. You cannot add items directly from the Packages tab or within the Package detail view.

  2. Select the checkboxes next to the desired documents or placeholders (up to 300 items).

  3. In the toolbar above the table, click Add to Package.

  4. In the pop-up modal, select the target package from the list and confirm.

Review All Documents in a Package (Sequential Review)

  1. Navigate to the Packages tab and click on a package name to open its detail view.

  2. In the Package Items section, click Review Package.

  3. The Viewer will open to the first document in the set. Use the top navigation arrows to paginate sequentially through all documents within the package without returning to the main list.

Note

Package Type and Package Status are managed at the company level in Company Admin Tool > Tool Settings > Document Management > Default Fields. Both fields are pre-seeded on all projects by default, but company admins can remove existing values, add new code/value pairs, and enable or disable them in the Project Admin tool.

  • Package Status is pre-seeded with: AR - Archived, CL - Closed, DR - Draft, IP - In Progress, OP - Open.

  • Package Type is pre-seeded with: EX - External, IN - Internal.
