Create a Bluebeam Studio Session in the Unified Viewer in the Documents Tool

Beta

This feature is currently in beta for Procore customers. To learn more, reach out to your Procore point of contact.

Background

The Bluebeam Studio integration enables real-time collaboration on PDF files using Bluebeam Studio web or Bluebeam Revu desktop. Finalizing a session automatically imports all participants' markups back into the Procore Unified Viewer as a consolidated, read-only markup layer group without modifying the original PDF or creating a new revision.

Things to Consider

  • Required User Permissions

    • Each user can have one active Bluebeam Studio session per document at a time. Multiple parallel sessions created by different users or on different document versions are allowed.

    • Granular markup creation permissions in Document Management, or Standard level permissions or higher on the Documents, Specifications, or Drawings tool.

  • Additional Information:

    • Supported file types: PDF only.

    • Supported tools: Document Management, Documents, Specifications, and Drawings.

    • Session names must be 50 characters or less and cannot contain special characters (|, /, \, ?, <, >, :, ").

    • An active, user-owned Bluebeam Studio account.

    • Finalizing a session processes asynchronously and can take up to several minutes to complete.

    • Adding additional PDF files inside a Bluebeam Studio session results in those files and their markups being discarded during import.

    • Finalization must be initiated from Procore. Bluebeam/Revu can technically finalize a session, but the Procore integration only supports finalization initiated from Procore. If finalized in Revu:

      • Procore cannot extract/import the markups.

      • Procore shows a session_needs_restore error immediately when 'Finalize' is clicked in Procore, or after its 24-hour Bluebeam status poll.

      • The markups are not lost. The user must restore the session in Revu, then finalize it through Procore (60 day restoration window).

Steps

  1. Open the PDF file in the Procore Unified Viewer.

  2. Click Bluebeam Studio in the top header.

  3. Select your Bluebeam region from the dropdown menu and click Log In.
Note: On first use, complete the prompt to authenticate your Bluebeam account with Procore.

  4. In the Create Session modal, enter a Session Name.

  5. Click Create Session.

  6. Select your preferred environment to launch the session:

    • Join in Bluebeam Revu® (opens desktop app)

    • Join in the Web (opens browser version)

  7. Add markups to the document in Bluebeam Studio (do not finalize the session in Bluebeam; finalization must be initiated from Procore).

  8. Return to the Procore Unified Viewer and locate the active session banner.

  9. Click the vertical ellipsis icon on the banner or action menu and select Finalize Studio Session.
