Admin: Manage AI Budgets and Optimization

The Budgeting tab within the Control Tower area of Datagrid helps account administrators manage and regulate credit consumption. Admin of all Datagrid accounts and Procore AI tiers can set daily and monthly credit thresholds at the account level. These guardrails and their accompanying notifications can help monitor credit usage velocity and avoid unexpected credit exhaustion. As the platform's infrastructure evolves, so will the guardrail options. This tutorial describes the existing guardrail options, or learn more about monitoring AI usage via reports or about credits at Datagrid or Procore.

• Required User Permissions:

  • ‘Admin’ permissions in Datagrid are required for accessing the Control Tower features.

    • Procore’s ‘Company Admin’ role maps to the ‘Admin’ role in Datagrid, while Procore’s ‘Project Admin’ role maps to ‘Member’ in Datagrid. Therefore, ‘Project Admin’ cannot automatically access Control Tower features in Datagrid, such as these budgeting guardrails. 

• Procore AI customers: 

  • All tiers of the Digital Coworker packages (Starter, Pro, and Enterprise) have access to Control Tower, including budgeting and reports.

  • Prerequisites: Since the Control Tower features are currently only accessible via the standalone Datagrid product and not within Procore, Company Admin must perform the credentialing sequence detailed in Enable Procore AI before they can access Control Tower features in Datagrid.

1. Log into app.datagrid.ai
   Note: Procore customers with an active integration subscription log in via Procore SSO.

2. Make sure you're in the correct teamspace. If your company has more than one teamspace, select the one you want from the dropdown at the top of the left navigation panel.

3. In the bottom-left of the landing page, click on Control Tower.

4. Click on the Budgeting tab.

Set Credit Thresholds

Administrators can set daily and monthly credit limits at the account level in Datagrid, which is the Company level in Procore. Reaching an assigned AI budget limit blocks heavy automated processes and data pipeline ingestion, but includes a grace buffer for minor, manual bonus AI interactions so live user sessions do not terminate mid-request. 

Each account administrator will receive an alert in the app and an automated email notification the moment the organization's collective credit consumption crosses 80% of its defined budget limit.

1. Locate the Account-Level Restrictions section.

2. Toggle the budget threshold option to Active.

3. Enter your non-negotiable maximum values in the text field:

   • Daily Credit Limit: Set a single-day credit maximum (e.g., 2,000 credits) to insulate your account from runaway background loops or accidental automated mass queries.

   • Monthly Credit Limit: Set your credit monthly maximum.

4. Click Save Changes. The system will now actively track usage against these limits. When credit consumption reaches 80% of the set limit, that automatically triggers an email to all account admin and notifications in the app.
