Updating or importing values in a direct entry column allows you to enter line item values manually or bulk-import them using a spreadsheet template. This process streamlines budget management by providing a flexible way to adjust line items or quickly upload large amounts of financial data directly into a budget view.
Required User Permissions:
'Admin' level permissions on the Project level Budget tool.
OR
'Read Only' or 'Standard' level permissions on the project's Budget tool with the 'Modify and import direct entry values' granular permission enabled on your permissions template.
Additional Information:
Procore recommends that you create a budget snapshot before bulk importing values from an Excel file into a direct entry column. See Create a Budget Snapshot.
Navigate to the Project level Budget tool.
Select the budget view that includes the direct entry column from the View drop-down menu.
Click into any editable cell within the column and enter the value.
Note: Cells restricted by a Cost Type rule will appear blank and non-editable.
(For Quantity-based Direct Entry columns) In the pop-up window, enter or update the values for the line item:
Enter a numerical value into the Quantity field.
Select the unit of measure from the UOM drop-down list.
Note: You can select the unit of measure (UOM) in a quantity-based direct entry column even if UOM editing restrictions are enabled for the company or project.
Click Update.
Decimal precision and rounding rules:
Currency-based direct entry columns support up to 2 decimal places.
Number- and quantity-based direct entry columns support storing up to 6 decimal places.
When a user clicks out of a cell (is not actively editing), the displayed value rounds to 2 decimal places. However, Procore stores the full, unrounded value and uses that full precision in all underlying calculations.
Navigate to the Project level Budget tool.
Select the budget view that includes the direct entry column from the View drop-down list.
In the top right corner, click the Import drop-down menu.
Under the Single Column Upload section, select your custom direct entry column.
Click Download Excel Template.
The system downloads a copy of the direct_entry_import.xlsx file to your web browser's specified download location.
The downloaded template automatically pre-populates with all existing budget line items.
Always enter your values in the Excel template that you downloaded from your Procore project.
On your computer, open the downloaded direct_entry_import.xlsx file in Microsoft Excel.
Update the values for the budget line items on each row as follows:
Enter plain numerical values in the Value field.
Note: Do not include currency symbols or "%" signs since Procore applies formatting automatically upon import.
Save the file in the Excel Workbook (.xlsx) format.
Navigate back to the Project level Budget tool.
In the Excel File section, click Upload File or drag and drop the updated template.
Select your file in the window that appears and click Open.
Click Import.
Review the imported values in the project's Budget tool to verify that the line item imported as expected.
