Configure Settings for Procore Tools in Project Archives

Background

In the Project Archive tool, you can configure the settings of various Procore tools when creating and editing extracts.

Things to Consider

  • Required User Permissions

  • Additional Information:

    • No settings are available for the Directory, Documents, Photos, and Models tools.

    • Attachments associated with the Change Orders tool's items are included in the archive by default.

    • All data for the Models tool is included in the archive by default.

You can configure the settings of various Procore tools to specify the exact content you want to include in your archive.

Action Plans

Attachments

  • Include records: Mark the checkbox to include records in the archive.

  • Include attachments of records: Mark the checkbox to include attachments associated with records in the archive.

  • Include references: Mark the checkbox to include reference documents in the archive.

  • Include related items of associated records up to 1 level: Mark the checkbox to include attachments, submittals, inspections, and observation photos linked to action plans up to 1 level deep.

Action Plans

File Structure

Select one of these options:

  • Separate files in Action Plans's folder: Include attachments associated with action plan items as separate files in the archive.

  • Merge files in single PDF: Merge attachments, records, and the cover sheet associated with action plan items into a single PDF in the archive.

Note: Attachments associated with action plan items are included as separate files by default.

Include Attachments

Clear this checkbox if you do not want to include attachments associated with items in the archive.

Note: By default, this checkbox is selected.

Log Status

Select the status of logs to be included in the archive.

Note: 'Approved' and 'Rejected' statuses are included by default. You can remove them if required.

Select the type of logs to be included in the archive.

Note: All log types are included by default. You can remove them if required.

Clear this checkbox to include days when the daily logs are not completed.

Use the < and > buttons to navigate to the required month and year.

Markup Options

Select one of the following options:

  • Only Markup: Include drawing items containing markups only in the archive.

  • Without Markup: Include drawing items without markups in the archive.

  • Markup with linked items: Include drawing items with markups and their associated linked items, such as pinned RFIs and Photos, in the archive.

Extract options

Clear the Include Sketches checkbox to exclude sketches associated with drawing items in the archive.

Note: By default, this checkbox is selected.

Select one of these options:

  • Include All: Select to include all drawings in the archive.

  • Include only Current: Select to include only the current revision of drawings in the archive.

    Note: Only the current revision of drawings is included by default.

Submittals

Attachment Type

Select one of these options:

  • Include Attachments: Select to include all types of attachments associated with submittal items in the archive.

  • Include Distributed Attachments: Select to include only distributed attachments associated with submittal items in the archive.

  • Include Current Attachments: Select to include only the latest attachments associated with submittal items in the archive.

  • Cover Sheet only (Exclude attachments): Select to include only the cover sheet for submittal items, excluding all attachments in the archive.

Note: All types of attachments are included by default.

Select one of these options:

  • Include All: Select to include all drawings in the archive.

  • Include only Current: Select to include only the current revision of drawings in the archive.

    Note: Only the current revision of drawings is included by default.

Include Attachments

Clear this checkbox to exclude attachments associated with Observation items in the archive.

Note: By default, this checkbox is selected.

Include Linked Drawings

Mark this checkbox to include drawings linked with Observation items in the archive.

Note: Linked drawings are not included by default.

RFI

Include Attachments

Clear this checkbox to exclude attachments associated with RFI items in the archive.

Note: By default, this checkbox is selected.

Include Official Response Only

Clear this checkbox to include RFIs regardless of whether they have an official response in the archive.

Note: By default, this checkbox is selected.

Revision

Select one of these options:

  • Include All: Select to include all specifications in the archive.

  • Include only Current: Select to include only the current revision of specifications in the archive.
    Note: Only the current revision of specifications is included by default.

Change Orders

Contract Type

Select one of the following options:

  • All: Include all contract types in the archive.

  • Prime Contract Only: Include prime contracts only in the archive.

  • Commitments Only: Include commitment change orders only in the archive.

Note: Only prime contracts are included by default in the archive.

Select the following option:

  • Include Change History: Mark this checkbox to include the change history associated with the change orders in the archive.
