What is the Submittal Progress Indicator?

The Submittal Progress Indicator is a visual tool that allows Submittal Managers and Admins to monitor a workflow's status at a glance. Procore determines the progress status based on the following logic:

Status

Triggering Conditions

On-Track

The workflow is progressing as planned, and the Last Step Workflow Due Date is less than or equal to the Final Due Date.

Off-Track

  • A workflow step is currently overdue while Today’s Date is still before the Final Due Date

  • The submittal is in 'Draft' status AND the Open-By Date has passed AND Today’s Date ≤ Final Due Date (this is true for submittals with or without a workflow)

  • The final step's workflow due date has been pushed past the Final Due Date

Paused

The submittal received a 'Reject' or 'Revise & Resubmit' response, and the workflow is paused pending manager action (only available if the Reject Workflow setting is enabled).

Overdue

Today’s Date has passed the Final Due Date AND the submittal is still in 'Draft' or 'Open' status.

Submittal Date Calculations

  • Required On-Site Date: This is calculated based on the Schedule Activity Start Date or can be manually entered.

  • Final Due Date: Determined by adding the Lead Time (in calendar days) to the Required On-Site Date.

Calculations With a Workflow

When a collaborative workflow is applied, Procore uses the following logic to back-calculate dates:

  • Last Step Workflow Due Date: The Final Due Date minus the Buffer Time (in working days).

  • Workflow Step Due Dates: Calculated by taking the Next Step Due Date and subtracting that step's Days to Submit/Respond (in working days).

  • Submit-By Date: This is equivalent to the Due Date for the first workflow step, which is typically the Submitter role.

  • Open-By Date: The Submit-By Date minus the first step's Days to Submit/Respond.

  • Remaining Buffer Time: Calculated as: Final Due Date - Today's Date - ∑(Days to Submit/Respond of subsequent Workflow Steps).

  • Anticipated Delivery Date: Calculated as: (Today's Date + Days to Submit/Respond of remaining Workflow Steps + Lead Time).

Calculations Without a Workflow

If you are not using a collaborative workflow, Procore uses default settings to determine deadlines:

  • Submit-By Date: The Final Due Date minus the Buffer Time, Design Review Time, and Internal Review Time (all in working days).

  • Open-By Date: The Submit-By Date minus the Prepare Time (in working days).
