Collaborate on Connected RFIs

Open Beta

Cross Account Collaboration for RFIs in the Connection Manager tool is currently in Open Beta. Follow these steps to opt in via Procore Explore.

Background

Cross-account collaboration allows project participants to create and monitor RFIs in a Sending account directly from their own Receiving Procore account. This connected environment eliminates manual double data entry, speeds up response times, and gives specialty contractors real-time visibility into RFI statuses and updates across web and mobile (iOS and Android) applications.

Things to Consider

  • Required User Permissions on the project's Connection Manager tool.

  • Additional Information:

    • RFIs that reside in the project's recycle bin are ineligible for cross account collaborations.

    • When an RFI is sent, the Created By, Responsible Contractor, and Received From fields in the Sending account automatically populate with the information of the user who initiated the export.

    • The Private field populates based on the Sending account's settings, not by the Receiving account's choice to collaborate.

    • In the Sending account, a connected RFI will display the following information:

      • Status: The RFI status is always set to Draft.

      • Number: A read-only field next to the RFI number shows the source company and original RFI number.

      • Created By: This field displays the name of the user from the receiving account who initiated the collaboration, along with a 'via Procore Connect' label.

Important!

You can only send an RFI from the Receiving project to the Sending project once per RFI.

Prerequisites

  • The project must be connected to the other project's RFIs tool via the Connection Manager. For detailed steps, see Initiate a Project Connection.

  3. Then Navigate to the project's RFI tool.

  6. Select Send Copy.

  8. A window will open giving you the option to edit the following fields:

    • Subject: Provide a descriptive title for the RFI. The RFI's subject is displayed as the RFI's title in the list view.

    • Question: Enter your question when creating an RFI, or update it when editing.

      • Tip: We recommend including any background information the assignee needs to answer the question.

    • Attachments: Add any relevant attachments.

      • Any edits made to the subject, question, or attachments during the collaboration step will affect the resulting Sending project RFI but will have no effect on your original Receiving project RFI.

    • RFI Manager: Select an RFI Manager from the drop-down list.

      • If you have Admin permissions for the RFIs tool, you can select yourself or another Admin from the list.

      • If you have Standard permissions, this list only includes users with Admin permissions for the RFIs tool. You can only select an Admin from the list.

  9. Click Send.

  10. When the receiving account clicks send, three things happen to connect the RFIs:

    • Draft RFI Created: A draft RFI is created in the Sending project.

    • External RFI Created: An external RFI is created in the Receiving project.

    • Persistent Link Established: A live link is established between both RFIs for real-time monitoring.
