Create Direct Costs via Email Forwarding

This content is for participants in the Project Financials: Company Direct Costs beta program.


The Email Forwarding feature enhances the data entry process for direct costs in Procore. Users can send file attachments (PDFs or PNG or JPEG images) to a unique, company-specific email address, which instantly creates a direct cost entry.

Things to Consider

  • Required User Permissions (To view the email attachment)

    • 'Admin' level permissions on the Company level Direct Costs tool.

    • 'Standard' or 'Read Only' permissions with the view all Direct Costs in the uploads tab. 

  • The supported file types are .pdf, .jpg, and .png file name extensions for this process.

  • Each attachment in the email will be processed as an individual direct cost item.

Prerequisites

  • The Direct Costs tool must be enabled at the Company level.

  • To create Direct Costs using email forwarding, you need your company's specific Direct Costs tool email address.

Steps

  1. Navigate to the Company level Direct Costs tool.

  2. Click Configure Settings.

  3. Find the email address 

    1. Under the Email Forwarding section 

    2.  find your unique email address at the bottom of the Upload tab to
      Optional: Click Copy Email Address to save the address to your clipboard.

  4. Open your preferred email application and create a new message or forward email with an attachment

  5. Paste the unique Procore email address into the To field.

  6. Attach the PDF, JPG, or PNG files you want to upload as direct costs.

  7. Send the email. 

Note: A new Direct Costs record is created.
