Recycle Items in the Document Management Tool

Regional Availability

The Document Management tool is available to accounts in the following countries: United Kingdom, Ireland, Australia, and New Zealand. It is not yet available for Procore accounts in the U.S. To learn more, please reach out to your Procore point of contact.

Background

Recycling a document moves it into the 'Recycle Bin' area of the Document Management tool. The deleted versions are no longer part of the project's files or workflows. The only way to recover the document at that point is to download it from the 'Recycle Bin' area and, optionally, re-upload it to the Document Management tool. Recycled documents are always available for download in the 'Recycle Bin' and do not expire.

Restoring recycled documents without having to re-upload them will be available with phase two of this feature. Permanently deleting a document still requires reaching out to your Procore point of contact.

Things to Consider

  • Required User Permissions:

  • You can only delete uploaded documents that you have access to.

  • You cannot recycle submitted documents in the Document Management tool while a workflow is actively in progress.

  • Uploads & Placeholders Access: Users with Uploads tab access can view full file information and download recycled items in the Placeholders and Uploads collection. Users without Uploads tab access can only view the empty placeholder entity shell (restricted file data is not exposed).

  • Recycle Bin Collections: The Recycle Bin tab contains two static collections in the Saved Views panel:

    • Documents: Contains documents recycled from the Documents tab.

    • Placeholders and Uploads: Contains soft-deleted uploads, empty placeholders, filled placeholders, and removed placeholder files from both the Uploads and Documents tabs.

  • Restoring & Purging: Restoring items to their original location and permanently deleting items from the Recycle Bin are not supported in this release.

Steps

  1. Navigate to the project's Document Management tool.

  2. You can recycle and manage using the following options:

    • Recycle Documents, Uploads, or Placeholders

    • Recycle a Document Package

    • (Optional) View or Download Recycled Items

Recycle Documents, Uploads, or Placeholders

  1. Select your target tab:

    • Documents tab: Select the document(s) or placeholder(s) you want to recycle.

      Note: Selecting the latest version of a document recycles only that specific version. Previous versions remain active.

    • Uploads tab: Select the upload(s) or placeholder(s) you want to recycle.

  2. In the top toolbar, click the Recycle Bin Icon Delete Trash6 icon.

  3. In the pop-up modal, enter a mandatory reason for deleting the item(s).
    Note: This reason will display in the Recycle Bin tab alongside the deleted item.

  4. Click Move to Recycle Bin.
    The item is immediately removed from active project files, lists, and workflows. If other versions of a recycled document exist, the recycled version is removed from the Version History log.

Recycle a Document Package

  1. Click the Packages tab.

  2. Select the checkbox next to the package you want to recycle.

  3. In the top toolbar, click Recycle Bin.

  4. Click Move to Recycle Bin to confirm.

    Note: Moving a package to the Recycle Bin soft-deletes the package container only. Underlying documents and placeholders within the package remain active and unchanged in the project.

(Optional) View or Download Recycled Items

  1. Click the Recycle Bin tab.

  2. In the left panel under Saved Views, select a collection:

    • Documents > Recycled Documents: View documents recycled from the Documents tab.

    • Placeholders and Uploads > Recycled Placeholders and Uploads: View recycled uploads and placeholders.

    • Packages > Recycled Packages: View recycled package containers.

  3. View item details including who deleted the item, date, reason, and preserved metadata. Search, filter, or configure columns as needed.

  4. Click the Download Icon Download Cloud icon next to an item to save a copy to your device.

    Note: Downloads for recycled uploads require Uploads tab permissions. Downloaded files can be re-uploaded to Document Management if needed.
