Resend a Rejected Purchase Order Invoice to ERP Integrations for Accounting Acceptance

Background

Resending a rejected purchase order invoice allows users to submit corrected billing information back to the ERP Integrations tool for accounting acceptance. Returning the invoice to the review queue ensures that updated line items and adjusted values are re-evaluated by the accounting team before syncing to the financial ledger.

Things to Consider

  • Required User Permissions on the project's Commitment tool.

  • Additional Information:

    • Verify that the project, vendor, and original purchase order remain fully synced with your ERP system before resending the invoice. Ensure the invoice status is updated to Approved and contains at least one Schedule of Values (SOV) line item to enable the resend action.

    • Resending an invoice transfers the updated record back to the Company level ERP Integrations tool for accounting review.

    • Addressing the rejection reason specified by accounting prior to resending prevents duplicate export rejections.

    • If the Resend to ERP button is grayed out and unavailable, hover your cursor over the question mark (?) to learn why. It's usually because the invoice is not in the Approved status.

    • If the Retrieve from ERP button appears, this invoice has already been sent to the ERP Integrations tool.

Steps

  1. Navigate to the project's Commitments tool.

  2. Locate the relevant Commitment.

  3. Click the Invoices tab.

  4. Click the relevant Invoice Number.

  5. Click Resend to ERP.
