Create and Start a Concept Project Workflow

Concept Projects and the other features described in this article are only available as part of the Portfolio Management Enhancement Closed Beta. If you'd like to join the Closed Beta, reach out to your Procore point of contact.

Manage and track your concept project approvals directly within Procore, eliminating the need for fragmented emails, spreadsheets, and offline documents. This dedicated workflow provides traceability for your concept projects, giving you a clear, centralized audit trail of who approved or rejected a project—and why.

When a workflow starts, designated users automatically receive notifications to approve or reject their specific step. Procore automatically archives all decisions and comments within the project, ensuring an easily accessible audit trail for future reference.

Things to Consider

  • Required User Permissions

    • Create a Workflow Template

      • 'Admin' level permissions on the Company Workflows tool.
        OR

      • 'Read Only' or 'Standard' level permissions on the Company Workflows tool with the 'View Workflow Templates' and 'Create and Edit Workflow Templates' granular permissions enabled on your permissions template.

    • Configure a Concept Project Workflow for your Project

      • 'Admin' level permissions to the project's Admin tool.

    • Start a Concept Project Workflow

      • 'Admin' level permissions to the project's Admin tool.

  • Starting the workflow automatically locks the 'Concept' project stage. The project stage field can be manually updated only after the workflow has been approved.

  • Currently, only one concept project workflow can be run at a time.

  • After a concept project workflow has been started or approved, the Workflows option in the project's Admin tool is no longer visible. If a workflow is rejected, the Workflows option again becomes available in the project's Admin tool and a new workflow can be initiated.

Steps

1. Create a Workflow Template

    • Project Role Assignees:
      No manual updates are required to manage individual assignees.
      Assignees are automatically populated into each workflow step based on the assigned project roles from the Project Directory. Important: Ensure project directory roles are correctly assigned and up-to-date. See How to auto-assign project roles to workflow steps? for details.

    • If Response is. Select one (1) or more response(s) from the drop-down menu.

    • Go to Step. Select the next step in the workflow if this response is the step's final decision.

    • Optional: Click Add Response to create additional responses and fill out the above information as needed.

  • Multiple Responders Decide: Show/Hide

    • In the Responses card of the step settings, do the following:

    • If Only required responders decide IS checked:

    • If Required Responders Decide. Select one (1) or more response(s) from the drop-down menu.

    • Go to Step. Select the next step in the workflow if this response is the step's final decision.

    • If Only required responders decide is NOT checked:

    • If All Responders Decide. Select one (1) or more response(s) from the drop-down menu.

    • Go to Step. Select the next step in the workflow if this response is the step's final decision.

    • Optional: Click Add Response to create additional responses and fill out the above information as needed.

The workflow will be routed depending on whether the the item's approval will cause any Budget Codes associated with the item to move above the set amount.

The difference between the Approved, Pending, and Revised amounts associated (Commitments, Commitment Change Orders, Direct Costs) with the Budget Codes included in the item's SOV and the Budget Code's Revised Budgeted amount.

The workflow will be routed depending on whether the the item's approval will cause any Budget Codes associated with the item to move above the set amount.

Beta Approved Costs Percentage of Budgeted Budget Code Values

The percentage of the Revised Budgeted Amount for the Budget Code amount(s) included in the SOV of the workflow item across all Approved cost items.

The workflow will be routed based on whether the workflow item's SOV Budget Code values across all Approved items are above/below a defined percentage of the Revised Budgeted Amount of the Budget Codes.

Beta All Costs Percentage of Budgeted Budget Code Values

The percentage of the Revised Budgeted Amount for the Budget Code amount(s) included in the SOV of the workflow item across all Approved, Pending, and Revised items.

The workflow will be routed based on whether the workflow item's SOV Budget Code values across all Approved, Pending, and Revised items are above/below a defined percentage of the Revised Budgeted Amount of the Budget Codes.

保存工作流模板

2. Assign the Workflow to Projects

Concept project workflows are automatically available for all your concept projects.

3. Configure a Concept Project Workflow for your Project

  1. Navigate to the concept project's Admin tool.

  2. Click Workflows.

  3. Click Configure next to the workflow.

  4. Assign a Workflow Manager by selecting a project user from the drop-down list.

  5. Optional: Click any step to make additional configurations to the workflow.

  6. Click Save.

  7. Mark the 'configured' Default Workflow to run on the project.

4. Start the Concept Project Workflow

  1. Navigate to the project's Project Overview.

  2. Click Start Workflow.
