Notary Onboarding Guide

To speed up your payment process, your General Contractor uses Procore Pay for the secure signing and notarization of lien waivers. We use OneNotary to handle this process digitally, eliminating paper delays.

Things to Consider

  • In-Person Electronic Notarization (IPEN) costs are covered by the General Contractor.

  • Completing this step digitally ensures the General Contractor can process your payment application faster.

  • In most states, IPEN is functionally equivalent to traditional notarization and does not require additional certifications.

Steps

Tip

This process and the specific onboarding steps outlined are intended only for the licensed Notary who will be performing the notarization. The Subcontractor electronically signing the lien waiver does not need to complete these steps or register for a OneNotary account.

The licensed notary at your company must complete a one-time setup on the OneNotary platform to join signing sessions.

  • Create an Account: Use the OneNotary Signup Linkto register and verify your identity.

  • Complete the Profile: Upload your State-issued Notary Commission certificate and an image of your Official Notary Stamp/Seal.

  • Note for Signers: Only the licensed Notary needs to follow these steps; the employee signing the waiver does not need a OneNotary account.

Next Steps

Once the notary is verified, the process for individual lien waivers is seamless:

  • Receive Invitation. When a waiver is ready in Procore Pay, the notary receives a secure email link from OneNotary to join the session.

  • Meet In-Person. Even though the session is digital, the Notary must meet with the Signer in person to witness the signature.

  • Digital Signing. The notary enters the virtual room, witnesses the digital signature, and applies their digital seal and signature to the document.

  • Automatic Submission. Once the notary completes their electronic journal entry, the document is automatically sent back to Procore Pay for immediate submission.
