Configure Forecasting by Currency and Percentage (Beta)

Percentage-based forecasting, column-specific forecasting, and remaining-to-spread amount (including actuals) features are available for configuration in the Company level Admin tool and for use in the Project level Budget tool. To enable these features, join the Forecasting: Revenue Forecasting, Percents and Actuals-Aware Remaining beta program via Procore Explore.

Background

Percentage-based forecasting lets teams allocate monthly project costs or revenues using percentages rather than requiring manual currency entries per month. This planning method reduces manual calculations and aligns directly with milestone billing structures or percentage-of-completion models (such as revenue tracking for general contractors).

When combined with the remaining-to-spread amount (including actuals) feature, Procore maintains your fixed percentages across remaining periods even as actual costs are added to the project. Instead of pre-deducting actuals from the spreadable column and dynamically shrinking future monthly currency amounts, Procore subtracts actual expenditures directly from the calculated remaining total, flagging over-allocations or unspread balances clearly.

Things to Consider

  • Required User Permissions:

    • To configure the percentage-based forecasting, column-specific forecasting, and the remaining-to-spread amount (including actuals) features, 'Admin' level permissions on the company's Admin tool.

    • To use the percentage-based forecasting, column-specific forecasting, and the remaining-to-spread amount (including actuals) features, 'Standard' or higher-level permissions on the project's Budget tool.

  • Prerequisites:

    • Create or assign a forecasting view to your project.

    • Ensure that the Enable Advanced Forecasting and Update spread by currency and percent settings are enabled in your project's budget settings. See Configure Settings: Budget.

Steps

Configure the Forecasting View

  1. Navigate to the Company Level Admin tool.

  2. Under 'Tool Settings', click Budget.

  3. Select the Forecasting Views tab.

  4. Click Edit next to your desired forecasting view.

  5. Select a budget column from the Forecasting Column To Spread drop-down list to distribute across monthly forecast periods. For example, select Estimated Cost at Completion or Projected Cost To Complete.
    Note: Assign a unique Forecasting Column To Spread to each view to ensure that changes to monthly spread values in one view do not overwrite or modify the values for the same line item in other views. See How do I keep monthly forecast spreads independent across different forecast views?

  6. (Optional) Select a column from the Actuals Column drop-down list to deduct actuals from the 'Remaining to Spread' calculation. See How is Remaining to Spread Calculated in Advanced Forecasting?

  7. Click Save.

Enter Percent-Based Monthly Allocations

  1. Navigate to the Project level Budget tool.

  2. Select the Forecasting tab.

  3. Select a forecasting view from the View drop-down list.

  4. Locate your line item and enter values in either the Forecast (%) or Forecast ($) cells for individual months.

    • Entering a percentage automatically calculates the corresponding currency amount based on the total spreadable column.

    • Entering a currency amount automatically calculates the equivalent percentage based on the total spreadable column.

  5. Review the values in the Remaining ($) and Remaining (%) cells to verify your forecast balance:

    • A balance of 0.00 ($\%) indicates fully allocated planned funds.

    • A negative balance indicates actual expenditures or total allocations have exceeded the initial budget, signaling that future monthly forecast amounts must be adjusted.
