Create a Calculated Column

Background

A calculated column lets you use two (2) or more columns and select a value format (such as Currency, Number, or Percent). It also allows you to write expressions using basic operators, such as Addition (+), Subtraction (-), Multiplication (*), or Division (/) to perform operations on data column values.

Things to Consider

  • Required User Permissions:

    • 'Admin' level permissions on the Company level Admin tool.

Steps

Create a Calculated Column from the Columns Tab

Show / Hide Steps

  1. Navigate to the Company level Admin tool.

  2. Under 'Tool Settings', click Budget.

  3. Select the Columns tab.

  4. Click + Create and select Calculated Column.

  5. Under 'General Information', configure the following:

    1. Default Column Name. Enter a name for the calculated column.
      Note: You can assign a different display name when managing a budget or forecasting view.

    2. Format. Select a data format for the calculated column's output:

      • Currency. Displays values with standard monetary formatting and two decimal places. For example, $2,400,999.00.

      • Number. Displays values as whole numbers. For example, 2,400,000.

      • Percent. Displays values as percentages. For example, 240,000,000.00%.

    3. (Optional) Include column in Single Tool Budget reports. Mark this checkbox to include the column in Single Tool budget reports.

  6. Under 'Formula and Overrides', configure the following:

    1. Select Column. Click to select the first column from the drop-down list.

    2. Choose an operator:

      • Add (+)

      • Subtract (-)

      • Multiply (*)

      • Divide (/)

         Note

        Calculations follow the standard mathematical order of operations (multiplication and division occur before addition and subtraction).

    3. Select Column. Click to select the second column from the drop-down list.

    4. (Optional) Add Column. Click to add additional columns and operators as needed.

  7. Under 'Data Display', configure the following:

    • Display subtotals and grand totals. Clear this checkbox to hide subtotals and grand totals for line items.
      Note: Available for numerical formats (Currency and Number).

  8. Click Create.
    The new calculated column will appear in the Columns list.

Create a Calculated Column from a Budget View

Show / Hide Steps

  1. Follow the relevant steps to create or edit a budget view.

  2. On the 'Budget View' page, click + Create in the Columns panel.

  3. Select Calculated Column.

  4. Under 'General Information', configure the following:

    1. Default Column Name. Enter a name for the calculated column.
      Note: You can assign a different display name when managing a budget view.

    2. Format. Select a data format for the column's output:

      • Currency. Displays values with standard monetary formatting and two decimal places. For example, $2,400,999.00.

      • Number. Displays values as whole numbers. For example, 2,400,000.

      • Percent. Displays values as percentages. For example, 240,000,000.00%.

    3. (Optional) Include column in Single Tool Budget reports. Mark this checkbox to include the column in Single Tool budget reports.

     Note
    • The new calculated column is enabled by default in the budget view. You can toggle its visibility on or off using the toggle switch in the panel. See Enable or Disable Columns in a Budget or Forecasting View.

    • The new calculated column will automatically appear on the far right of the budget view table in the project's Budget tool.

Create a Calculated Column from a Forecasting View

Show / Hide Steps

  1. Follow the relevant steps to create or edit a forecasting view.

  2. On the 'Forecasting View' page, click + Create in the Columns panel.

  3. Select Calculated Column.

  4. Under 'General Information', configure the following:

    1. Default Column Name. Enter a name for the calculated column.
      Note: You can assign a different display name when managing a forecasting view.

    2. Format. Select a data format for the column's output:

      • Currency. Displays values with standard monetary formatting and two decimal places. For example, $2,400,999.00.
