Regional Availability

The Document Management tool is available to accounts in the following countries: United Kingdom, Ireland, Australia, and New Zealand. It is not yet available for Procore accounts in the U.S. To learn more, please reach out to your Procore point of contact.

Depending on your license, use either the Document Management or Documents tool as the central repository for your discipline files and 2D drawings. Storing files in one secure location ensures your team always accesses the latest versions. Once uploaded, you can add these files to your federated model using the Model Manager (Beta). This tutorial specifically covers the Document Management workflow.

Steps

 Nota

  1. Navigate to the project's Document Management tool and click the Uploads or Documents tab.

  2. Depending on your file source, choose one of the following options to add files:

    • To upload files from your computer:

      1. Click Add and select Upload File.

      2. Select the files that you want to upload.
Tip! If you want to upload files in bulk, the following actions are available:

        • To select multiple files individually: Hold down the CONTROL key on your keyboard and click each file that you want to select.

        • To select a group of files at one time: Click the first file that you want to select. Hold down the SHIFT key on your keyboard and click the last file you want to select. This selects all files in between the first and last file.

      3. In your computer's file explorer window, click Open to confirm the upload.

    • To link files natively from Microsoft SharePoint:

      1. Click Add and select Link from SharePoint.

      2. In the modal, enter your company's SharePoint subdomain prefix, for example, https://[your-subdomain].sharepoint.com and click Login to SharePoint.

      3. Log in with your Microsoft 365 credentials.

      4. Browse your accessible directories and select the files you want to import (up to 500 files, max 1 GB per file).

      5. Click Link Items.
Note: Linked files are processed asynchronously and will automatically appear in your log once the transfer is complete.

  3. The status of the upload is shown in an Uploads window at the bottom of the screen.
Hover over the green check Icon Green Checkmark icon in the Uploads window and click Review to open the document in the viewer.
Note: If you uploaded a file into a placeholder, you can click on the viewer and see what the document is about to verify the document content. If you uploaded an incorrect file, delete it before proceeding and re-upload a new file.

  4. After documents have been uploaded, you can view them on the Uploads tab.
Documents are shown as 'Processing' in the 'Ready to Submit' column while the system detects and populates information. You can start to review and fill out information as needed from the table or viewer. The system will not override any information that you enter manually.

  5. Once processing is complete, check the metadata fields for information automatically populated from the latest revision of a matched document. Look for the Inherited Metadata metadata-iconicon next to a field and hover over it to verify the source document.

  6. If you need to reassign a document, click the Name field to select a different document name or update a field associated with the project's Naming Standard. If the Move Revision modal appears, review the 'Current' and 'Target' document information and click Move Revision.
Note: You can also view and fulfill placeholders assigned directly to your company if your user profile belongs to the designated originator company and you possess document upload permissions.

    Note

    • If a workflow is applied to a document, the status field is not editable because the workflow controls the document's status.

    • During the upload process, Procore automatically detects metadata from your files. Look for the following icons next to fields:

      • Green Icon Green Circle Pfcp icon: Indicates the field was successfully auto-detected from the file.

      • Warning Icon (Yellow Icon Warning Estimating/RedIcon Error icons): Indicates a detection failure (for example, unsupported file format, missing attributes, or inactive field values). Hover your mouse over the icon to view the specific reason for the failure and the recommended solution.
